Job Description

Repairs & Business Services Co-Ordinator Service Name: Home workerLocation: Lincolnshireor LondonSalary: £28,820pa during probation and £29,397pa after completion of probationHours: 38 hours per weekWe have a fantastic new opportunity for you to join our developing and ambitious Amber Housing team, working closely with the CEO. This the role would suit someone with experience of housing repairs management, or a highly motivated candidate withexcellent written and comprehension skills, who is keen to develop in this area.Amber Housing is a vibrant, ambitious and growing not-for-profit subsidiary company of Ambient Support. We deliver a range of property and facilities management services for the parent company Ambient Support Limited and to other external partner organisations.We also own and manage properties which enable vulnerable adults to live independently with support.Our Repairs and Business Services Co-Ordinator duties will be:

  • Co-ordination of Amber Housings reactive/responsive repairs together with co-ordination of a maintenance & replacement service for commercial, domestic and care related equipment delivered by a range of external contractors.
  • Management of contractor agreements and qualifications/quality assurance documentation.
  • Financial management of repairs and maintenance budgets including the review, authorisation, and processing of contractor invoices.
  • Reactive Repairs & Renewals
  • Due diligence checking and ongoing monitoring of contractor and suppliers credentials and qualifications, including financial, insurance and health & safety compliance and advising on the need for agreement renewals and terminations.
  • Woking closely with the Facilities & Asset Manager to co-ordinate the replacement of equipment in accordance with Amber Housings procurement procedures.
  • Manage the selection, appointment, and ongoing management of service contractors for the delivery of statutory inspection and testing of fixed and mobile equipment within delegated authorities.
Maintenance Agreements
  • Negotiation of service contracts with suitably qualified maintenance contractors covering (but not exclusively), fire safety, laundry equipment, pest control & passenger, stair and platform lifts and air-conditioning.
  • Negotiating and managing service agreements as necessary for the provision of window cleaning, gardening, and contract cleaning support services for Amber Housings supported living services.
Finance & Administration
  • Management of the reactive repairs service budgets to ensure that service delivery remains within annual budgets and negotiation of contractor service rates.
  • Procurement of quotations, issuing of purchase orders and management of contractor invoicing and payments in line with contractor agreements and Finance Policies and Procedures
  • Maintenance of purchase order data, asset registers and property maintenance systems, including information on guarantees & warranties on equipment purchases.
  • Management of the payment of contractor invoices, providing final authorisation of payment of pre-assessed contractor invoices.
  • Participation setting annual service/property repair & maintenance budgets.
Skills and experience of our Repairs and Business Services Co-Ordinator:
  • Educated to Degree level or equivalent in relevant role
  • 2 years experience in a maintenance, supervisory or management role
  • Understanding of building and equipment health & safety statutory testing and certification requirements
  • Works/Purchase order systems, scheduling and programme planning
  • Building relationships externally and with internal customers
  • Complaints handling
  • Preparation of performance reports and statistics
  • Management of external contractors and contracts
  • Financial management
  • Negotiating skills
  • Planning & forecasting
  • Participation as required in telephone On-Call arrangements
  • Ability to drive, willingness to travel and have access to a vehicle
