Job Description

Use your excellent financial administration skills and experience in this flexible, part-time role with a lovely local charity. You would be working closely with the CEO and volunteer Treasurer to help keep the charity finances organised and running smoothly. Experience with managing restricted trust and grant funding wouldbe an advantage.The role is 15 hours a week, worked flexibly by agreement over Monday-Friday at our office in Weston-super-Mare. After successful induction, some homeworking will be possible.We are looking to recruit an experienced finance professional to allow handover from the existing Finance Officer during March. We will be scheduling interviews as applications come in.Bookkeeping and financial administration Record all income and expenditure using Sage 50 accounts system Account for and bank cash including coins from donations (counted by volunteers). Arrange the payment of invoices and bills via post or bank transfer Monitor and process petty cash and employees and volunteers expenses Process the payroll using Moneysoft payroll system, including NI, tax and pension requirements. Liaise with funding agencies where required, e.g. North Somerset Council and other grant funders to ensure that correct payments are received within expected timescales Create and record outgoing invoices Carry out the bank reconciliationSupporting fundraising Provide details of donors promptly to staff responsible for thanking, communication and monitoring fundraising activities. Allocate expenditure correctly against trust fund and project budgets, communicating progress to the CEO and other staff as needed. Maintain Gift Aid records and standing order donations and process Gift Aid claims annually.Reporting Prepare monthly financial reports for the Executive Committee in liaison with Treasurer and Chief Executive Prepare annual budgets in liaison with Treasurer and Chief Executive Maintain records of budgets and cash flow data, reporting to Treasurer and Chief Executive Prepare end of year accounts for Vision North Somerset auditors Maintain the solvency early warning analysisOther tasksLiaise with staff to assist securing Access to Work claimsMaintain task procedure guide for the key elements of the roleWork with the Treasurer and CEO to review processes and polices as needed to ensure appropriate financial controls, cash handling etc.Procurement Support the Treasurer and CEO with the pensions policy for staff Monitor and compare cost of utilities and suppliers to ensure best value for Vision North SomersetWorking as part of a team (common to all Vision North Somerset job descriptions) Maintain effective communication and strong working relationships with Vision North Somerset staff contributing to team meetings. Ensure that other staff understand your role. Maintain awareness of and follow our policies and processes. Undertake regular supervision meetings and training in topics such as: safeguarding, health and safety, data protection, equality, diversity, and inclusion. Assist in the planning and improving of the delivery of service improvement and participate positively in the implementation of new working methods and practices as required. Be an excellent ambassador for the charity. Carry out any other duties that may reasonably be required in line with your main duties.
