Job Description

Junior Office AdminMy Client is a well established Financial Services Company. They are looking for an experienced Office Administrator / Office Manager who is able to commit to a full-time office based position in Westerham.Whilst the Company are working a shift pattern to ensure all staff are safe in the offices whilst there, and allow most people to work from home in the current pandemic; this role will be solely office based and you will be required to work in the office on a daily basis Mon-Fri within strict protocols to ensure yours and others safety from Coronavirus. My Client has asked me not to disclose this on the advertisement.Profile of Role:You will be working for the Senior Administrator and your duties, whilst very varied, will encompass the following:

  • Reception tasks including answering telephones and redirecting or taking messages, liaising with couriers and the Post Office
  • Opening and distributing post including managing incoming forms from the IRS and other Tax Authorities
  • Greeting visitors and managing meeting rooms
  • Assist the SOA with company events and conferences
  • Booking transport and accommodation for all business trips under the direction of the SOA
  • Assisting with petty cash
  • Assisting with all building related matters including arranging visits and managing contractors when on site
  • Liaising with existing suppliers for required services.
  • Helping to maintain records for all statutory obligations, including but not limited to HSE, Fire, First Aid, fixed wire and PAT and arrange any relevant staff training as required
  • Assisting with ordering stationery and furniture
  • Assisting with preparing induction packs and organizing calendars for new employee induction programmes
  • Provide support to the Claims Manager as required, assisting with claims archive and retrieval and documenting changes in the status of submitted claims
  • Provide support to the Tax Office team as required, assisting with emails, printing, barcoding and attaching relevant documents to claims and assisting with acceptances
  • Provide support to the Business Support Team with claims typing and checking during busy periods
  • Assisting the Senior Administrator in any tasks they request
  • Essential Experience required:
  • Experience in an administrative role
  • Reliability and discretion; you will often learn of confidential matters
  • Tenacious and standards-orientated, aspires to perfection and demonstrates clear attention to detail
  • Good Microsoft Office package skills including Excel and Word
  • Excellent communication, negotiation and relationship-building skills
  • Exceptional organisational and prioritisation skills and ability to multi-task
  • Flexibility and adaptability to changing workloads
  • Willingness to take on responsibility outside of remit due to working in a small team where a variety of things will need to be done
  • Desire to learn and develop
