Job Description

Contract Support AdministratorPermanentNuneaton UK£23k Salary40 hours An amazing opportunity has arisen at a well-known and successful M&E business, for an experienced Administrator to join their team on a permanent basis from their office in Nuneaton as a Contract Support Administrator within their planned and responsive maintenanceteam on behalf of Warwickshire Council. Your role will be to support the Contract Support team and report to the Contracts Manager.The Contract Support Administrator duties will be:• Overseeing the in box on the helpdesk and ensuring all queries are passed on to the appropriate Contract Support• Throughout the course of the day, photographs for work order will be sent to the helpdesk inbox, you will need to ensure these are sent through to the Contracts Manager• Scanning and filing of all paperwork sent over from sub-contractors and Engineers• Raising of PO numbers for Engineers and relevant Contracts Managers • Answering phone calls from different members of the company• Working alongside Contract support in raising sub-contractor PO numbers• Carrying out weekly reports and ensure the corresponding paper work is stored in the internal system• Chase paper work from both sub-contract and direct labour force and ensure this is available on the internal system• Reporting on invoice queries, compliance documents and the relevant job sheet to enquire they are ready for invoicing• Processing PO’s, delivery notes ready for invoicing and issue to head office• Stand in to support the helpdesk team during absences and annual leave. • Assisting the helpdesk team during busy periods. • Scheduling works for planned maintenance when required.• Offer administration support to senior members of the Contract team. As a Contract Support Administrator you will need: • Strong Administration experience within a similar setting would be advantageous • Confident using Excel and creating spreadsheets• Able to work within a team, at a steady pace to ensure all targets are achieved daily• Excellent communication skills • To be a problem solver and have the ability to multi-task and work well under pressure• Good IT skills The successful Contract Support Administrator will have a real opportunity to make this role their own, bringing in new ideas and creating systems that enable the Engineering team to run more efficiently.
