Job Description

The Personal Assistantto the CEO plays a critical role in supporting the CEO and facilitating the smooth operation of executive-level activities within the organization. This position requires exceptional organizational skills, discretion, professionalism,and the ability to handle a wide range of administrative and executive support tasks.Responsibilities:
  1. Calendar Management: Manage the CEOs calendar efficiently, scheduling appointments, meetings, and travel arrangements, ensuring optimal use of time and prioritizing tasks effectively.
  2. Communication: Serve as the primary point of contact for internal and external stakeholders, screening and managing incoming calls, emails, and correspondence on behalf of the CEO. Draft, proof read, and edit correspondence and presentationsas needed.
  3. Meeting Support: Coordinate and prepare materials for meetings, including agendas, presentations, and reports. Attend meetings with the CEO, take notes, and follow up on action items as necessary.
  4. Travel Arrangements: Arrange travel itineraries, accommodations, and transportation for the CEO and occasionally for other executives or team members, ensuring cost-effectiveness and adherence to company policies.
  5. Information Management: Maintain confidential files, documents, and records for the CEO, ensuring easy access and organization. Handle sensitive information with discretion and confidentiality.
  6. Project Coordination: Assist in coordinating special projects and initiatives as directed by the CEO, including research, data analysis, and coordination with other departments or external partners..
  7. Relationship Management: Build and maintain positive relationships with key stakeholders, including board members, investors, clients, and partners. Facilitate communication and interactions as needed.
  8. Priority Management: Help the CEO prioritize tasks and manage competing demands on their time, providing support and guidance to ensure deadlines are met and objectives are achieved.
  9. Ad Hoc Support: Provide additional support to the CEO as required, which may include personal errands, event planning, or other miscellaneous tasks.
Qualifications:
  • Proven experience as an executive assistant or similar role .
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
  • Strong written and verbal communication skills, with exceptional attention to detail.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Discretion and professionalism when handling confidential information.
  • Adaptability and resourcefulness, with the ability to solve problems independently.
  • A proactive and positive attitude, with a willingness to take on new challenges and responsibilities.
The Personal Assistantto the CEO plays a crucial role in ensuring the CEOs effectiveness and productivity, enabling them to focus on strategic priorities and leadership responsibilities. This position requires a high level of professionalism, discretion,and organizational skills, along with the ability to work autonomously and collaboratively in a dynamic and demanding environment.Thesuccessful candidate will be required to undergo a DBS check as part of the recruitment process.
