Job Description

This educational trust, based in Teignmouth, is seeking to appoint an Executive Assistant and Business Support Administrator to join their growing team.Executive Assistant and Business Support AdministratorTeignmouth, TQ14 9HZ

  • 37 hours per week, 39 weeks per year
  • Permanent position
  • Scale 5, points 16 to 22 (£26,357 to £29,439 pro rata)
Please Note: Applicants must be authorised to work in the UKRole Description and Duties:
  • Provide comprehensive Executive Assistant support to CEO and Executive Team, handling high-volume tasks and demonstrating flexibility.
  • Manage CEOs email, schedule calls/appointments, coordinate meetings, prepare agendas, take minutes, and follow up on actions.
  • Plan and execute engagement events with stakeholders, assist Trust Governance Officer, draft correspondence, and conduct research for CEO.
  • Maintain efficient filing systems, act as first point of contact for inquiries, manage incoming/outgoing mail, and handle sensitive information discreetly.
  • Support Executive Team projects, maintain confidentiality, meet deadlines, assist in management information report preparation, and handle routine administrative tasks.
  • Organise internal/external events, undertake minute-taking duties, produce correspondence, and ensure compliance with safeguarding, confidentiality, data protection, and equal opportunities policies.
  • Adhere to Health, Safety, and Wellbeing Policy, undergo training as necessary, and perform other duties as assigned by CEO and Executive Team.
The successful candidate will need to demonstrate:
  • Having strong written and verbal communication skills with an ability to gain credibility at all levels.
  • A high level of competency in using technology, Microsoft Office and Google Workspace (drives, docs).
  • To be able to remain calm when working under pressure, prioritise workloads and work to deadlines.
  • To be committed to the vision and aims of the Trust.
  • To be flexible in their approach and able to adapt as and when the demands of the role require it, including working flexible hours when needed.
  • Having a sense of humour and ability to establish strong relationships very quickly.
