Job Description

Financial Services Administrator - SwanseaPrincipal AccountabilitiesGeneral

  • To work under own initiative and prioritise work effectively.
  • Maintain good time management and effective organisation ensuring that tasks are prioritised.
  • Greet all incoming calls in a professional business and courteous manner.
  • Encourage Independent Financial Advisers to release administration.
  • Proactively offer to free up time for adviser, by ensuring work that can be done by the administrator is not done by the adviser.
  • Comply with all company procedures and the Individual Conduct Rules as listed above.
  • To treat all client and firm’s information with the utmost confidentiality.
  • Core tasks
  • Undertake core tasks such as photocopying, answering telephone as required, distribution of post and associated mail items within office.
  • Set up client file and ensure any relevant checklist is completed accurately.
  • Preparing New Client meeting packs
  • Issuing Engagement Letters.
  • Upload documentation to back office system
  • Updating Fact Find and risk profiler via back office system
  • Send off transfer of servicing documents and ensure acceptance from providers.
  • Collect information required to research client plans and policies
  • Produce valuations
  • Prepare New Business packs for presentation meeting, including illustrations.
  • Submit new business to platform/product providers
  • Servicing existing & new business queries.
  • Maintain effective communications with product provider and client.
  • Oversee administration and processing to completion.
  • Issue policy documents and confirmation letter.
  • Make appointments as required.
