Job Description

Event Manager - Global Firm

  • Up to £30,000 (DOE)
Swansea OfficeJob Purpose:
  • To take responsibility for events through the entire process, from initial venue sourcing through to contracting, pre-event logistics, event execution and finally through to invoicing.
  • To take complete ownership of the specific events, which can vary in size.
Main duties and responsibilities:
  • Locate suitable venues within the stated city where an event is planned through the RFP process.
  • Contract negotiation with those venues that suit the brand and intended event, with eventual selection of venue.
  • Courseware planning, ordering and subsequent logistics to ensure all arrives at the event on time.
  • Monitoring class capacities to ensure classroom allocation is correct and classes are marked as sold out when appropriate and then working with CS to ensure wait list is managed.
  • Monitoring marketing activity to ensure that everything is running as per the issued plan.
  • Liaising with instructors to confirm travel, hotel arrangements and all other requirements.
  • Working with contracted venue for final arrangements of event.
  • Organising and facilitating evening Instructor meals and delegate drinks evenings.
  • On site management of the event, with responsibility for overall event success including the supervision of hotel staff and course facilitators.
  • Daily administration of delegate evaluation sheets, and liaison/follow up with delegates and instructors to maintain stringent event/course quality.
  • Deposit and Final invoicing to ensure all is financially sound with respect to event costs.
  • Assistance and input to continuous improvement of relevant business processes to ensure we function as efficiently as possible both within Operations and across other departments such as Sales, Marketing, Customer Services and Finance.
PERSON SPECIFICATIONRequirements:
  • Degree qualified or equivalent;
  • Ideally 2-3 years experience in an event/venue management/planning role;
  • Passion for customer satisfaction;
  • Excellent contract negotiation skills;
  • A pro-active forward-thinking team player;
  • Excellent attention to detail;
  • Highly motivated, competitive and goal-orientated;
  • Excellent communication skills, both written and verbal as well as good presentation skills;
  • Proven track record of organising and planning successful events;
  • Ability to manage budgets, timelines, business expectations and marketing objectives successfully;
  • A good business sense, event contracting, strong negotiation skills, competitive;
  • Demonstrated event execution experience and leadership;
  • Travel to events;
  • Able to work in high pressure situations and deadline driven;
  • Enthusiastic, Organized and disciplined, with a positive can do attitude and a willingness to go the extra mile when needed;
  • PC literate with good MS Office skills;
  • The role is very hands-on and often involves working as part of a team;
  • Flexible approach to duties and hours and a willingness to work anti-social hours when required.
