Job Description

Internal Sales RepresentativePort Talbot Area£22000 - £24000 PA (Full Time)Options for Part Time workThe CompanyThis well established organisation manufacturers lighting and bespoke architectural products made from aluminium. They boast a strong and secure customer base amongst Local Authorities, distributors and contractors across the UK and abroad.They pride themselves on working closely with key players in the market to form mutually beneficial partnerships. They insist on working hard at all levels so that the customer enjoys the highest possible level of customer service.The Role This is a brand new position to provide a sales support function that offers high levels of customer service and helps link up our customers, external sales staff, Distributors and the factory.The normal hours of work will be 8.30am to 5.00pm Monday to Thursday and 8.30am to 4.30pm on Friday.However, applicants wanting to work less hours can be considered. In this case payment would be pro-rata.The successful person will:Prepare quotations

  • Gather accurate information: eg site location, height, nature of lantern, quantities, project name, customer information
  • Liaise with Design, Supply & Logistics and Production departments to adjust offering
  • Prepare and issue quotation following the internal process chart
  • Record customer information and quotation data on the internal Database
  • Develop and maintain a functional exchange of information with Supply & Logistics Department to ensure customers are aware of estimated lead times, delivery dates and progress of manufacture
  • Follow up on quotations and assess where improvements might be made to secure the order
Process orders
  • Check details
  • Liaise with logistics for delivery forecasts
  • Liaise with Design and the customer to ensure that design and specification documents are correctly signed and approved
  • Complete and issue order acknowledgements and related sales documentation
  • Record customer information and order data on the internal Database
Dealing with customer queries
  • Monitor website traffic via LiveChat and intervene where prudent to do so: respond to, log and resolve any LiveChat derived queries with the input of other departments
  • Record details of new/potential customers
  • Liaise with Design, Production and Supply & Logistics to give accurate and up-to-date feedback
  • Liaise with the Quality Assurance Manager to sort out problems affecting the customer
Support External Sales People and Distributors
  • Provide regular feedback to Sales Staff on state of enquiries/orders
  • Research and collate market intelligence reports on Local Authorities, major contractors, new market segments and competitors
  • Weekly/monthly compilation and publication of sales/orders and invoicing performance by customer/distributor/zone/market etc...
  • Interface with Distributors
  • Administration/communication of price changes
  • Administration/circulation of Newsletters, etc.
  • Maintain and update company website
General Reception duties
  • Refer telephone calls accurately to other personnel
  • Conduct themselves in a professional manner to convey a positive image of the company at all times
Basic calculations
  • Record and process customer information to give initial response to customer (this will be followed by a fully authorised calculation from Technical)
Filing and archiving of sales documentation
  • Ensure current files contain all related documentation
  • Archive files in accordance with Company procedures
RequirementsThe successful applicant will have the following experience, abilities and qualities:
  • Have experience of working in a Sales environment using mainly telephone and e-mail to create and maintain effective working relationships
  • Good literacy and numeracy skills
  • IT literate, able to use Word, Excel, and Outlook, and be trained to enter data and use the Company Database
  • Ability to collect and organise numerical and textual information accurately and communicate effectively with internal and external customers
  • Ability to research and collect information from customers, online resources, documents and identify and communicate key issues and factors both internally and externally
  • Good relationship building skills
  • Able to work effectively in a small team
