Job Description

We are urgently looking for a part time Receptionist. The hours are 0900 – 1300 with a requirement to do a longer day 0900 – 1700 to cover the afternoon receptionist during periods of leave. This role is a temp to perm position.Key Responsibilities include:

  • Operate Microsoft Switchboard
  • Deal with incoming/outgoing calls professionally and expediently.
  • Process internal and external post
  • Distribute all incoming post into relevant pigeon holes. On arrival of urgent and recorded mail inform the recipient immediately either by email, switchboard, verbally. Process any mail in other Receptionist’s absence.
  • Ensure the daily running of reception
  • Ensure that all visitors and employees are greeted professionally and politely. Signing in visitors, contractors, and couriers. Reception area is kept clean and clear and well managed. Monitor levels of paper in fax machines, printers, and photocopier –replenish when necessary. In other Receptionist’s absence give a brief induction to new members of staff. Allocate and update pigeon holes. Update switchboard with location and telephone extension numbers of new staff and update relevant spread sheet in receptionfolder. Assisting visitors with onsite locations, booking taxis etc.
  • Supporting Technical Services, Finance, Science Support with any extra admin tasks when required. Filing, photocopying, ad hoc administration. Distributing internal and external post. Book all hire cars promptly and forward all relevant documentation todepartment and finance. If required, liaise directly with hire car company to dispute any invoice/customer service queries. Assist with any seasonal admin requirements. Absorb any new but regular admin tasks into reception duties easily and smoothly. Operatelone worker device online system. Update room signs.
  • Ordering stationery/supplies
  • Maintain stock levels in stationery cupboard including fax and franking machines. Order extra requirements for staff as and when required. Process orders for lab coats and coveralls.
  • Arrange Courier Deliveries/Pick Up
  • Provide relevant paperwork for staff to use couriers. Book courier online and arrange collection. Take delivery and inform relevant member of staff especially if item is packed in dry ice or requires refrigeration. Liaise directly with courier company forquotes/customer service and if necessary, invoice disputes.
The salary is £23,809pa,which will be pro rata’d to £19,305pa. Employee benefits include:
