Pertemps have an exciting opportunity on behalf of Plymouth City Council, for an enthusiastic and organised Executive Assistant to support the Professional and Executive Support Services team within the Public Health.This will be a job share for 2 days a week, working approximately 15 hours per week.As the Executive Assistant, your role will provide an excellent executive support service and representation to one of the Leadership team, ensuriong resources are appropriately prioritised and that all activities and functions provided are efficient and effective.Duties will invole: Ensure that appropriate communication and support arrangements are in place to maintain the working relationship between the Leadership Team, senior managers and other key stakeholders, ensuring an effective, coordinated workflow of business. Organise and plan workload, diary and commitments Research, review, analyse, collate and present information on a variety of topicsWork closely with relevant stakeholders to ensure effective management and support of meetings including production of agendas, papers and minutes and check completion of all relevant action points.Develop and maintain good working relationships with all staff, visitors and external contacts, liaising with internal and external stakeholders as necessary to ensure a high standard of customer care at all times Maintain comprehensive contacts database Act as first point of contact for all guests meeting with the Leadership Team with prompt and couProvide the client role for organisations and agencies carrying out contractual activities for the Leadership Team of the councils offices Accountable for expenditure from an agreed budget of up to £5k. Maintain personnel files of senior managerThe ideal candidate will also have the following desirable experience/knowledge: Confidently manage stakeholder relationships at all levels and seniority, both internal and external to the organisation Adaptability when handling a high demand on Directors time, supporting with complex diaries and conflicting priorities Extensive diary planning, meeting arrangement and events organisation, informed by a clear understanding of business priorities Excellent interpersonal skills, self-awareness and discretion when working with internal and external stakeholders Exceptional verbal and written communication skills and a proven ability to communicate professionally with internal and external stakeholders Setting agendas, taking minutes and actions, producing executive summaries and updating the risk register when required Ability to record minutes and actions to a high quality, including highly sensitive and confidential information.
