Job Description

Fantastic Opportunity for an Experienced Construction Secretary to join an independent house builder who construct unique, high-quality homes across Devon & Cornwall. This will be based at two locations through the working week with a day working from homeand salary up to £26,000 pa.About the roleWe are seeking an experienced Construction Secretary to provide the Head of Construction and Construction department with full secretarial support. You will work as an integral part of the team and ensure the smooth running of the Construction department. Thechosen candidate will be providing a range of administrative services as well as providing a central point of contact within the Construction department. Key Responsibilities

  • Secretarial Support
  • Plan and organise the Head of Construction’s work schedule
  • Travel planning and booking accommodation as required
  • Handle all phone calls, mail and emails as required by the Head of Construction
  • Ensure that the production of typing, photocopying and emails are accurately presented in a professional style
  • Produce PowerPoint presentations as and when necessary
  • Produce report packs as and when necessary
  • Arrange meetings and seminars
  • Take minutes at meetings when required, transcribe and distribute accordingly
  • Complete general secretarial duties for other members of the Construction department and support other Departments as needed.
  • Manage and maintain an effective filing system (predominantly electronic)
  • Maintain an understanding of SBMS build and adjust build programmes when required
  • Provide information and data to Group as and when required (for example, labour returns)
  • Be competent in A-Site to access drawings and site documents when required
  • Liaise with the Commercial department to organise agency labour Recruitment and Onboarding
  • Liaise with the Office Manager to ensure that new starters are prepared and ready for their start date.
  • Liaise with the Office Manager to ensure that all equipment/uniform/PPE are ready for new starters and that their first week is structured
  • Work closely with someone who has decision-making authority
  • Ensure familiarity with HHSW Group’s Health, Safety and Environmental policies and comply with employee responsibilities.
  • At all times comply with company policies, procedures and instructions.
  • Contribute to improving the business, protecting and enhancing the reputation of the company, by putting forward new ideas and, when requested to do so, implementing change.
These are illustrative duties, and the chosen candidate will be expected to become involved in a range of work to enable the department to respond effectively to the requirements of the Company. About you
  • Calm, understanding and empathetic
  • Organised
  • Able to communicate clearly and effectively to site and office personnel
  • Previous secretarial or administrative experience
  • Literate in the use of IT
  • Manages time effectively
  • Able to support the Head of Construction with their diaries and admin duties
The desirable candidate will some or all (although not essential)
  • CSCS Card
  • FAAW
  • Gantt Programming
  • COINS Essential
  • Full UK Driving license.
  • Proficient use of all Microsoft packages
  • Previous experience in a secretarial role within the Construction industry
