Job Description

Role: Executive Assistant, permanent Salary: £30K - £32KHours: MondayFriday 9.00am5.30pmOne of Reeds reputable clients who are based Penicuik, are currently looking to recruit a Governance, CD&I, and HR Assistant to join their growing and successful organisation on their mission to improve the conditions of under developed countries. Thisis a fantastic opportunity for someone with strong Personal Assistant and Executive Assistant experience, who is looking for a challenge and is capable of supporting a large team.The successful candidate will be responsible for managing three differentaspects of the business and will need to be able to travel abroad for meetings when required.Our client really prides themselves on the service that they provide and what makes this long-lasting organisation stand out from other charitable organisations is that it gives their employees the chance to work and be a part of a global projects and theopportunity to then travel and meet the people they help every day. This is a unique opportunity.Key responsibilities:

  • Governance meetings administration - including planning & executing all logistic arrangements of face-to-face and virtual meetings (from 6 to 40+ attendees). This includes accommodation, travel, meeting facilities and field visits); liaising with all participantsas necessary; and distribution of related documentation;
  • Responsible for providing administrative support as required e.g. trustee recruitment & joint Board and staff meetings; and Trustee away day
  • Assisting with matters necessary to ensure compliant, efficient and effective governance e.g. document management (e.g. inductions, skills matrix); AGM organisation; minute taking; maintain confidentiality and conflicts of interest registers, etc
  • Covering all administrative support to ensure the smooth running of the Executive Directors diary management, administrative requirements and business travel, including related credit card and expense submissions in accordance with procedures
  • Providing logistical support for the CDI department and CD Committee meetings
  • Responsible for providing confidential support to the Associate Director, HR in relation to maintenance of the HR Information System, candidate database and recruitment mailbox, as well as administrative assistance for recruitment planning, staff trainingand the annual performance management cycle
What we are looking for:
  • 5 years in a PA/executive assistant role
  • At least 2 years experience of interacting with and administering substantial Board-level governance meetings including minute-taking
  • Experience of complex, and ideally international, event management
  • Experience of HR Administration
  • Able to travel internationally (max. 2 trips a year)
  • Experience of working in a small company/team
