Job Description

HRLife are supporting one of our valued clients to hire them an Office Manager to be based in Paddington five days a week.This is a great role for a forward thinking, proactive, people person who is used to working in a busy, growing business in a previous Office Manager role. Being the central point of contact for all employees, its essential you are helpful, visible andcan juggle priorities.As Office Manager you will be responsible for;

  • Managing all Health & Safety requirements and being the first point of contact internally and externally
  • Ensuring that all Health & Safety procedures are complied with
  • Ensuring regular fire safety inspections are carried out - weekly fire alarm test and periodic fire drill
  • Be able to manage any major repairs or improvements by calling relevant suppliers or contractors
  • Answer telephones, take messages, provide information, or transfers calls to appropriate individuals
  • Ensuring high level of stock is maintained throughout the office including; stationary, kitchen supplies and office equipment
  • Open incoming mail and direct mail to appropriate individuals within the department
  • Coordinate Outgoing Mail and maintain post room
  • Arrange Couriers etc. where necessary
  • Schedule appointments, Book Meeting Rooms.
  • Maintain calendar and coordinate conferences and meetings
  • Undertake typing as is required
  • File correspondence and other records electronically
  • Photocopy, Scan and Print as required
  • Record and type minutes of meetings
  • Undertake ad hoc administrative tasks as required
  • Experience of maintaining quality standards
  • Be outgoing and confident when meeting and greeting clients
  • General office support to the wider team
  • Liaise with building Manager regarding building and office maintenance issues
  • Meeting room administration including booking, catering, and diary
This is a great role for someone who loves prioritising different activities, can spin many plates and has an excellent communication style. Essential you have some experience in Health & Safety and ideally be qualified in a relevant qualification or certification.Excellent level of MS Office is essential.
