Job Description

Company: Live Nation (Music) UKDepartment: VIP NationLocation: 4 Pentonville Road, London N1 9HFWorking hours: 40 hours per week, with some unsociable hours may be required.Role DescriptionWorking within VIP Nation, Live Nation Entertainment?s VIP Experiences business, you will help support the Operations team on specific projects and events as well as with the day to day planning and fulfilment across the UK and Europe.VIP Nation operates packages for festivals and tours. In this role you will ensure the customer receives the event information in full and on time. You will also ensure that staff briefings are compiled to the agreed standard and assist our Event Managers in all aspects of relevant admin including travel bookings and expenses.The role is office based but you may be required to work at events on some occasions.For this role you should possess exceptional communication both verbal and literal and interpersonal skills have excellent organisational skills and the ability to work on more than one project at a time.ResponsibilitiesThis role is mainly Festival focused, but it is understood that this position will provide full administration support the VIP Nation Event Managers in all areas of product and event fulfilment.Fulfilment

  • Provide full administration for the management & fulfilment of specific tours, festivals, shows or events, as delegated by the Event Managers.
  • Prepare purchase orders to confirm goods, equipment and staffing as directed by Event mangers.
  • Co-ordinate logistical arrangements, book travel, as well as help claim all expenses back through our travel booking system.
  • Ensure all casual staff hours are recorded correctly.
  • Ensure all casual staff have supplied and completed required statuary information.
  • Compile all event staffing briefs.
  • Compile all event information packs.
  • Compile and disseminate customer letters and resend information to anyone who hasn?t opened the information.
  • Allocation of time slots to customers where required.
  • Agree and compile entry information and timings for letters/emails and itineraries.
  • Prepare registration sheets and registration system.
  • Compile and disseminate briefing packs and registration lists.
  • Post event, liaise with the Broker & Customer Relations Manager, reporting on customer feedback/complaints and opportunities for improvements.
  • Compile a complete tour or festival summary report.
  • Assist in sourcing and researching suppliers, including facilitating tender processes.
  • Ensure stock and assets inventory is monitored and up to date at all times. This will include making sure stock is replenished
  • Assist with the return of goods after a tour or a festival to our storage facilities.
  • Ensure office storage space is kept tidy and follows guide lines.
  • RequirementsSkills / Knowledge / Experience
  • Excellent verbal communication skills.
  • The candidate should have previous experience in writing and delivering briefings to an appropriate standard.
  • Proficiency in Microsoft applications especially Excel and Word are essential. Including formulas.
  • Previous corporate /private events experience would be a distinct advantage.
  • Excellent command of written English
  • Previous experience in an admin heavy role.
  • Languages are desirable.
