Job Description

Reception/AdminMy client is a leading organisation based in Newtownabbey, who are currently seeking an experienced Reception/Administrator to join their team.This is a Full-Time, Temporary position until December 2022Working hours: MondayFriday1pm5pm (20 hours per week)With an hourly rate of £9.50 per hourJob Role:You will be responsible for providing full administrative support to the support service team, by manning reception, operating the switchboard, and completing support services administrative duties.Essential Criteria:

  • A minimum of 4 GCSEs, including English and Maths (Grade C or above) or equivalent e.g., relevant NVQ Level II
  • Minimum of 1 years relevant experience of working in an office environment including demonstrable experience of using a computer/email/fax/telephone, management of petty cash and the ability to produce statistical information
  • Proficient in the use of Microsoft Applications including Word, Excel and Outlook
  • Excellent communication skills both written and verbalwith the ability to communicate with stakeholders at all levels
  • Ability to work as part of a team as well as on your own initiative
  • Ability to manage and prioritise your workload
  • Must be able to undertake a basic Access NI check
Main Duties and Responsibilities:
  • Answer telephone and transfer to appropriate staff member.
  • Meet and greet visitors, staff and stakeholders ensuring visitor passes are printed, recorded, and returned on exit.
  • Record incoming and external post on a daily basis.
  • Maintain database for staff attending Internal Training.
  • Administer recording of stamps and money received for postage.
  • Order catering for meetings, training events etc.
  • Order supplies e.g., stationery, office sundries etc.
  • Perform general clerical duties to include but not limited to: Faxing, E-mailing, typing documents etc.
  • Organise ID badges.
  • To cover reception from 1.00 pm to 5.00pm Monday to Friday, including absence, breaks and holidays of the P/T Receptionist Administrator (mornings) where required.
  • Assist with the development of a property file, ensure the maintenance and regular update of this in line with Health & Safety requirements.
  • Assist with co-ordinating Health & Safety Quarterly checks (Fire alarms, drills lights) from projects.
  • Assist with annual vehicle log book distribution for the fleet.
  • Assist with the printing and monitoring of vehicle logs and checks.
  • Any other duties as required.
