Job Description

Receptionist/Executive Administrative AssistantUrgent requirement for an Administrator to join a leading organisation based in Newtownabbey.This is a full-time temporary position, initially until March 2022. MondayFriday 9am-5pmSalary: £8.91Job Purpose Provision of high quality and efficient administrative support to the support services team, by manning reception, operating the switchboard and completing support services administrative duties. The post holder will also assist within the Executive office, providing administrative support to the corporate Executive assistant and support the offices of the Strategic Leadership Team.Essential Criteria:

  • A minimum of 4 GCSEs, including English and Maths (Grade C or above) or equivalent
  • Minimum of 1 years recent, relevant experience of working in an office environment, providing high quality administrative support to senior management
  • Demonstrable experience (min 1 year) of working in a Front of House/Reception role
  • Proficient in Microsoft applications including Word, Excel, and Outlook.
Duties:
  • Answer telephone and transfer to appropriate staff member.
  • Meet and greet visitors, staff and stakeholders ensuring visitor passes are printed, recorded, and returned on exit.
  • Record incoming and external post daily.
  • Maintain database for staff attending Internal Training.
  • Administer recording of stamps and money received for postage.
  • Order catering for meetings, training events etc
  • Order supplies eg stationery, office sundries etc
  • Perform general clerical duties to include but not limited to: Faxing, E-mailing, typing documents etc.
  • Organise ID badges for staff, students and volunteers.
  • To cover reception from 1.00 pm to 5.00pm Monday to Friday, including absence, breaks and holidays of the P/T Receptionist Administrator (mornings) where required.
  • Support the Corporate Executive Assistant in ensuring compliance standards in financial and legal practice and maintenance of the standards of corporate governance.
  • Develop an understanding of legislation that affect the post-holders areas of work and ensure adherence to these.
  • Organise, prepare agendas for, and take minutes at board meetings, Strategic Leadership Team Meetings, or any other meetings as requested by members of SLT.
  • Liaise with external regulators and advisers, such as lawyers and auditors as appropriately delegated.
