Job Description

General AdministratorMy client is a global and UK manufacturers, based in Newtownabbey, who are currently seeking an experienced General Administrator to join their team.This is a Full-Time, initially temporary position with the potential to be made permanent for the right candidate.Hours of work: 37.5 per weekWith an hourly rate of £10.26 - £11.28 per hourJob Role:You will be responsible for providing an efficient, confidential, and professional administrative support service for the Company Managers and general office personnel.Essential Criteria:

  • 5 GCSEs
  • Proven and demonstrable administration experience
  • Experience of working on the phones and switchboard
  • Excellent communication skills both written and verbalwith the ability to communicate with stakeholders at all levels
  • Excellent organisational skills with the ability to manage and prioritise a busy workloadwhile working under pressure
  • Ability to work on your own initiative as well as part of a team
  • Good IT skillswith the use of MS Office
Main Duties and Responsibilities:
  • Co-ordinate and organise travel requirements including car hire for all personnel ensuring best price and efficient routing
  • Maintain travel database on a daily basis
  • Co-ordinate and organise hotel / restaurant requirements for all personnel
  • Update hotel / restaurant booking spreadsheet as and when required
  • Daily sorting and distribution of incoming post on rota basis
  • Co-ordinate outgoing post on rota basis
  • Co-ordinate parcels via courier service on rota basis ensuring proper documentation and record of each item held on filing for invoicing purposes
  • Registering invoices received
  • Data entry Therefore
  • Matching invoices to delivery notes and GRNs
  • Processing of invoices once authorised
  • Chasing queries, /answering queries
  • Set up new supplier accounts
  • Ensure franking machine has sufficient funds and credit documentation maintained
  • Switchboard cover on a rota basis
  • Organise coffee/tea for meetings
  • Organise lunches
  • Drink machinesre-stocking drink stock on daily basis and emptying 3 machines weekly and entering monetary details onto spreadsheet
  • Monitor and maintain mineral drinks stock in main kitchen on rota basis
  • Any other duties as required from time to time
