Job Description

Role and Responsibilities Client Care

  • Handle all incoming telephone calls - either transferring to relevant person, taking detailed messages if that person is unavailable or dealing with general enquiries yourself.
  • First point of contact for all clients visiting the offices - dealing with enquiries, showing them to meeting rooms, providing teas and coffees and sometimes arranging lunches.
  • Managing the reception and meeting room calendars and monitoring general information emails and enquiries.
  • Keeping the reception area and meeting rooms clean and tidy at all times. Also ensure the foyer and entrance to the building are clean and tidy.
Post
  • Open and organise all incoming post in the morning and pass to partner to be checked and distributed.
  • Place all outgoing post in the correct envelopes with the correct postage and organise for postal courier to collect by 4pm.
  • Ordering couriers (e.g. TNT) when required.
Archiving
  • Preparing client files for archiving
  • Completing closing forms
  • Adding to archived database
  • Organising for off-site storage
  • Dealing with all archived file requests - searching databases, ensuring files are brought back from off-site storage and delivered to person requesting them in a timely manner and logging them in and out of archived database.
  • Logging new Deeds Packs and Wills into relevant databases and organising for storage.
  • Dealing with all Deeds and Wills enquiries
  • Retrieving Deeds and Wills for clients/solicitors and preparing them for collection
  • Searching databases for old Wills and Deeds relating to old firm
