Job Title: Executive Assistant Salary: £30,000 per annum Location: Newport Hybrid role Contract role for 12 months Job role:* Reporting into the Head of Human Resources, the Executive Assistant will primarily provide proactive, professional and comprehensive executive level support to the Chief Executive Officer. This includes effective diary and time management, arranging traveland coordinating the CEOs calls and inbox. * For the wider Executive team, administration support is required relating to preparing presentations and other company sensitive documentation. The Executive Assistant will also take responsibility for office and facilities management for our head officein Newport. Responsibilities:* Support the CEO in the full range of business support functions, including organising the CEOs schedule, managing calendar invitations, triaging emails and calls and organising events and meetings. * Providing business support to the CEO and wider Executive team such as preparing presentations, proposals, letters, board papers and conducting research where necessary. * Booking of domestic and international travel, flights, hotels, and ground transportation for the Executive team. * Provide support and co-ordination for a wide range of meetings, ensuring supporting materials are distributed on time, co-ordinating attendee invitations, organising room/virtual bookings, catering, preparing meeting papers, taking minutes, recording andcirculating actions, creating agendas, reports, presentations or handouts. * To produce/prepare documentation for the Executive team in a variety of formats including Word, Excel, PDF, PowerPoint, and other reports, letters and proposals including confidential material. * Event and logistics management for internal and external meetings/gatherings where required. * Facilities management and smooth running of our office accommodation including the management of health and safety processes, purchasing office supplies, and liaising with external contractors and service companies. * Assist with other ad hoc tasks as instructed by the Executive team and Head of HR. Skills, knowledge required:* Previous experience in an Executive/Personal Assistant role is an essential requirement. * Previous experience within an office management/facilities role is desirable. * Excellent organisational skills including the ability to manage time and prioritise effectively. * Proven ability to produce high quality, accurate work in a timely manner. * Proven ability to manage conflicting demands whilst meeting deadlines and maintaining professionalism. * Excellent Microsoft Office skills, particularly in Word, Excel, PowerPoint, Outlook and ideally SharePoint. * Dependable, results oriented and committed to achieving objectives and tasks as required. * Thorough understanding of the need for discretion and respecting confidentiality. The ability to manage sensitive information appropriately is essential. * Ability to work independently and proactively. * Customer focused; able to build relationships and communicate in a clear and fluent way, adapting the style of delivery to suit the audience.
