This includes knowledge lawyers, knowledge managers, paralegals and systems specialists.The Administrative Assistant will support our knowledge team in London, who provide essential legal support to the EMEA practice and to its clients including legal training for fee earners and for clients, maintenance of our internal knowledge database (including precedents and guidance notes), assisting fee earners on transactional work queries and support in relation to client facing microsites, blogs and other publications.The RoleThe Administrative Assistant will work as part of a highly motivated secretarial/administrative team to provide professional, proactive, high level administrative support to the Central Knowledge Team (including the Knowledge Practice Manager).Tasks include:

  • To help pooled secretaries with various administrative tasks
  • Training Administration:
  • Preparing slides for training
  • Submitting rosters to Learning Management System (LMS)
  • Preparing feedback forms on LMS
  • Zoom recording admin; dealing with Scorm requests or loading recording to LMS as MP4s
  • Updating of training attendance spreadsheets
  • Process expense claims, payment requisition forms and returned advances
  • Make travel arrangements
  • To ensure that all electronic filing and paper-based filing is up to date and maintained at regular intervals
  • To carry out photocopying and scanning as required
  • Maintaining Precedent number request spreadsheet
  • Institute registrations
  • Skills and Experience:
  • Accurate and computer literate
  • Ability to use initiative/problem solve
  • Organised with an ability to meet deadlines
  • Strong communication skills and telephone techniques
  • Ability to work as part of a team
  • Flexible
  • Secretarial or administrative qualifications/ILEX secretarial certificate/diploma qualification desirable but not essential
