Job Description

An exciting opportunity for an experienced executive assistant to join a well established manufacturing business based in Newcastle-upon-Tyne.Client DetailsOur client who has over 20 years experience within the Manufacturing industry. They have grown from strength to strength over the last couple of years and have major plans to grow even further over the next 18 months. With this exciting period of growththey are now looking to recruit committed Executive Assistant to support the CEO.DescriptionResponsibilities:Executive Support: Provide high-level administrative support to the CEO, including managing schedules, organising meetings, handling correspondence, and drafting reports as required.Calendar Managment: Efficiently manage the CEOs calendar, scheduling appointments, coordinating meetings, and ensuring all commitments are prioritised effectively.Travel Arrangements: Coordinate travel arrangements, including flight bookings, hotel accommodations, ground transportation, and visa arrangements, ensuring seamless travel experiences for the CEO.Communication Management: Act as a central point of contact for internal and external stakeholders, managing incoming communications, screening phone calls, and responding to emails on behalf of the CEO in a professional and timely manner.Meeting Coordination: Plan and coordinate internal and external meetings, including logistics, agenda preparation, and distribution of relevant materials. Take accurate meeting minutes and follow up on action items.Event Planning: Assist in the planning and execution of company events, conferences, and client engagements, ensuring smooth logistics, managing guest lists, and providing on-site support as needed.Confidentiality and Discretion: Handle sensitive information with the utmost confidentiality, exercising discretion and professionalism in all interactions.Relationship Management: Build and maintain strong relationships with key internal and external stakeholders, facilitating effective communication and collaboration on behalf of the CEO.Document Management: Organise and maintain electronic and physical files, ensuring information is easily accessible and properly archived.Ad hochoc Support: Provide additional support to the CEO and executive team as required, including conducting research, preparing presentations, and assisting with special projects.ProfileThe executive assistant will have following experience:

  • Proven experience as an Executive Assistant or similar role, preferably supporting C-suite executives.
  • Exceptional organisational and time-management skills, with the ability to multitask and prioritise effectively in a fast-paced environment.
  • Strong communication skills, both written and verbal, with a professional and polished demeanour.
  • Proficient in using productivity tools and software, such as Microsoft Office Suite and calendar management systems.
  • High level of attention to detail and accuracy in all tasks.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proactive and resourceful problem-solving skills, with the ability to anticipate needs and find solutions.
  • Excellent interpersonal skills, with the ability to build relationships and collaborate effectively with individuals at all levels of the organisation.
  • Flexibility and adaptability to accommodate changing priorities and deadlines.
  • Ideally a manufacturing background
Job OfferOn offer for the right candidate is a salary £29,000 -£31,000 plus, career progression, pension, nice offices.
