Job Description

Were Norton Rose Fulbright - a global law firm with over 50 offices and 7,000 employees worldwide.Our Newcastle office is currently recruiting for a Accounts Payable Assistant (12month fixed-term). We celebrate multiple approaches and points of view and believe diversity drives innovation, so were building a culture where difference is valued.The Role:The role sits within our Finance Department, reporting to the Accounts Payable Team Lead. The role is in a team that provides support to the accounts payable team for the UK covering a range of finance and administration related tasks to ensure invoicesand payments are processed in a timely, accurate manner and that Norton Rose Fulbright LLP complies with all statutory and regulatory requirements. The firm is moving onto use Chrome River/Emburse invoice and expense workflow software and the team will beproviding support to the wider EMEA region.Key Responsibilities:

  • Reviewing requests for new vendor set ups and changes to vendor data, ensuring full compliance with Bribery Act 2010, Money Laundering, Sanctions whilst ensuring records are unique. Reviewing content of the Vendor database on a regular basis to ensure datais complete and up to date. Setting up and amending records in SAP as required.
  • Loading invoices to SAP using workflow and manual methods.
  • Running the bi-monthly intercompany payment proposal, other weekly and monthly payment runs for EMEA offices using SAP and manual payments as required.
  • Reconciling vendor statements and liaising with local offices to ensure copy invoices are requested and followed up on.
  • Running and reporting on AP Controls (aged creditors, bank reconciliation items etc.)
  • Setting up and maintaining the manual and workflow authorisation matrices for EMEA, managing errors and exceptions in workflow, rerouting in line with local policies where required.
  • Liaising on all related matters with the local offices, and any other ad-hoc tasks as may be required.
Skills and Experience:
  • Keen sense of responsibility, ability to set a professional example and ensure staff commit to and deliver to defined scope and timeframes.
  • Excellent interpersonal skills with the ability to communicate clearly at all levels, and to non-Finance professionals, both verbally in writing.
  • Able to work as part of team, sharing knowledge and ideas with peers, proactive to business needs and working towards shared goals.
  • Able to follow standard operating procedures but able to exercise good judgement and decision making when presented with anomalies and non-standard requests and a confident problem solver.
  • Comfortable working within a fast-paced, flexible environment supporting Finance and the business in the completion of objectives.
  • Knowledge of SAP and Microsoft Office suite.
  • Experience of a professional services environment useful.
  • German/ French/Mandarin useful but not essential.
