Job Description

They are inclusive, trusted and progressive in everything that they do.About the role:This is a great opportunity to join the Legal Governance and Records Team at our client as they continue their work to promote online access to records; migrate data and information to the cloud; and promote our client as a Place of Deposit.This is also a great opportunity to enhance your skills as a Knowledge Information Manager and to help shape their strategy for ensuring that their information is fit for the future.This role will develop our clients Knowledge Information Management (KIM) vision and strategy, working across the organisation and with their sponsor Department Business Energy and Industrial Strategy and their GKIM Team. Create policies, procedures andtools, which facilitate effective KIM according to business needs, covering areas such as records creation and storage, data integrity, data transfer, information sharing, information risk and assurance, usability, protection, and destruction

  • Manage and deliver an internal Records Management service and an external service for the public.
  • Provide governance and advice regarding records management, migration and disposal in line with the Public Records Act, Section 46 Code of Practice under the Freedom of Information Act 2000, and Information Rights legislation.
  • Implement an effective knowledge information and records management strategy, ensuring that our client meets its legislative and good practice requirements, for all paper and digital records, inherited, current and new.
  • Ensure that there are clear policies and guidance for the lifecycle management of records in keeping with good practice guidance and ensuring that their obligations under the Public Records/DPA Act and all other mandatory guidance are met.
  • Compliance with all The National Archives regulatory reporting requirements and reviewing the Accreditation process for their Mining Heritage Centre - Place of Deposit
  • You will be responsible for overseeing the Electronic Document Management System (EDRMS) ensuring access and storage is fit for purpose.
  • As they move to rollout MS365, an understanding of SharePoint will be beneficial as well as experience of migrating data, personal and common drives to OneDrive and the cloud.
  • To oversee the Information Asset Register (IAR) and support, advise and guide the Information Asset Owners (IAOs) on acquiring, disposing and sharing Information Assets

  • Previous experience in delivering a records management service, working with internal and external customers, promoting access to and use of public records
  • Educated to degree level or equivalent, qualified in Records and/or Information Management or experienced Knowledge Information Manager (KIM) practitioner
  • Using your diplomacy and discretion when working across organisations and at all levels to deliver joined up, fit for purpose information and records management.
  • Excellent communication skills, both written and spoken, and confident in working with senior people.
