Job Description

Document AdministratorAre you a detail-oriented Administrator looking for your next roleRole Purpose:This role is to support the establishment of a work instruction library for all processes that operate within the Shared Service Centre. Responsible for managing the document loading and approval process for all work instructions to the electronic documentmanagement system.Key Info:

  • Payrate - £12.00 p/h - £15.31 p/h
  • 6-month contract - extension very likely
  • Location - Manchester/hybrid
  • Title - Document Management Administrator
  • 37 hours per week Mon-Fri
Key Accountabilitys and Duties: Review/validation and Upload of work instruction documentation into the corporate document management system DMS (Documentum). Ensure naming convention need to be reviewed/validated per guidance. Ensures all relevant metadata is captured in the DMS for eachdocument loaded. Manages the review and approval process of all documents to agreed timelines in the documentation project plan. Provides regular reporting on progress to plan and escalates any issues in a timely manner. Existing Documents gathering (finalization)for the targeted market & streams; overview file building-currently I am thinking of only targeting UK/CH for AP and R2R which was specifically addressed in the audit report. Documentation that will change because of the harmonization project need to be identified& updated before DMS upload action will be transferred to the harmonization project & no upload will be done for the time being for those specific process. Coordinate the document validation with TL/Ops team regarding the content & update when required (i.e.new GL/new Fixed Assets) this will ensure loading in DMS only valid documentation.Skills:Document control experience in a high-volume environment. Strong attention to detail and a high level of accuracy. Strong competence using Microsoft Office including MS Word, Excel and SharePoint. Able to prioritize workload and deadlines. Knowledge: Knowledgeof quality assurance processes applicable to document management e.g. workflow approvals and version control.
