Job Description

Team Assistant in Sustainable Energy Company £40,000 - £45,000Based in The City, Central LondonHybrid and flexible working patterns available (core hours 9-4pm)The team assistant will provide administrative and business services support to the team in general and the executive management team in particular. As well as the expected administration duties (arranging travel, office admin, expenses, document filingetc.) the team assistant will provide support to the CFO and commercial team in the administration of purchase orders, invoice processing and expenditure control. Initially the role will additionally be responsible for management of document control and filingat both the corporate and project level.Job description:

  • Provide administration activities related to office management, including liaison with SC building services and IT groups etc.
  • Arrange and coordinate travel for team members
  • Manage event organisation and coordination as required
  • Provide support to the CFO and Commercial Advisor in the administration of invoices, purchase orders etc.
  • Provide document management services and coordination of the company electronic filing system to ensure an orderly and accessible system of document retrieval is maintained.
  • Organising key company meetings, including UK based shareholder meetings, board meetings and senior management meetings including the recording of minutes and their distribution and sign-off.
The ideal candidate:
  • A confident individual comfortable with liaising and conversing with senior management, board members and shareholders
  • 10 years + experience as a team / executive assistant
  • Able to communicate effectively both at team level and corporate level
  • Must be a pro-active and self-motivated worker able to carry out their duties with the minimum of supervision
  • Experience of dealing with external parties and stakeholders and representing the company effectively
  • Ability to speak Japanese is preferred but not essential
