Job Description

Team Assistant (6 month FTC)Do you have PA experienceAre you self-sufficient£30-32k pa PLUS amazing benefits including free lunch each day worked, discounts for friends and family, fully funded team socials, annual trips abroad and more!Based in South West LondonFully Office Based Monday to Friday 9am - 5:30pmOverview:An amazing opportunity to join awell-established company as a Team Assistant.Your role will be to provide excellent administrative support to the Group assistant team, Chief Brand Officer and the wider team generally as required.The postholder will work closely with the PA to the Group CEO and the wider Group assistant team to ensure an inclusive and collaborative environment across two group offices.Sounds interesting...Daily duties include:

  • Assisting with scheduling meetings across multiple diaries
  • Worldwide travel management, including booking flights, venues, accommodation, visas, transfers and producing itineraries
  • To liaise with internal and external contacts as required
  • To welcome visitors, book meeting rooms and to liaise on meeting requirements and order lunches as required
  • To process expenses and invoices as required. Expenses are processed through Concur (training will be given)
  • To ensure the smooth running of the office and ensure stationery and office refreshments are kept fully stocked
  • Dealing with the post and ordering couriers
  • To work as a team with the other PAs, to create an efficient, inclusive and collaborative environment across the two offices.
  • Carrying out other tasks and projects across the Group team, as requested.
  • Constantly looking to improve processes and procedures.
To be successful in this role youll have:
  • Previous PA and/or Office Manager experience
  • Ability to work on own initiative and prioritise is essential, and comfortable working alone occasionally when the team are travelling
  • Ability to respond assertively when required
  • Able to deal with confidential information in a professional, discrete and trustworthy manner
  • Natural team worker and personable, with great relationship building skills
  • Good communication, written and telephone skills essential
  • Advanced IT skills - full use of Microsoft office suite plus ability to manage simple sharing platforms
  • Strong organisational skills
  • Be adaptable and flexible
