Job Description

Today we employ over 6,000 people across North America, Europe, Middle East, North Africa, Sub-Saharan Africa, India and Asia Pacific.The opportunityBe a part of our group services team that provide support to all businesses across our five global hubs, based in our corporate head office in London.The senior bid manager works closely with the relevant head of bids, supporting the ongoing development of the company’s work winning activity, helping to develop deeper, more insightful relationships with our clients. S/he will work across the business to identify and develop operational best practice and raise the standard in how bids should be managed and produced across the business.The senior bid manager works on significant opportunities to lead the translation of business strategy and objectives into practical bid plans that include win strategies, integrated marketing and communications activity, and programme management.Your responsibilities will include:Leadership responsibilities in support of the head of bids

  • Working with the head of bids as a trusted advisor on priorities/requirements for the team.
  • Directing change and improvement projects across the department and beyond.
  • Contributing to the department’s overall resource planning and people development strategy.
  • Developing direct reports and identify development needs for individuals.
  • Working as a key member of the department, providing insight and knowledge.
  • Engaging and influencing senior stakeholders across the business.
  • Developing a bid strategy
  • Evaluating tender documentation to uncover what’s important.
  • Undertaking detailed client, project, scope and stakeholder or competitor research to better understand opportunities.
  • Facilitating workshops with the wider bid team to share knowledge and develop a strategy.
  • Execution of that strategy
  • Being the ambassador for the strategy within the entire bid team (leadership).
  • Creating a strategy execution plan.
  • Creating an identity (graphics, tone of voice, look and feel), incorporating additional media or materials, to support that strategy.
  • Creating guidance and templates to support that strategy - CV and case study templates or writing style guides.
  • Manage the process
  • Managing the project bid by evaluating tender documents to define client requirements, deliverables, set deadlines and owners - the bid plan.
  • Project planning - owning the bid programme, highlighting interdependencies and monitoring/reporting on progress.
  • Attending internal progress meetings - bid kick off/regular progress meetings.
  • Attending external meetings - support the bid team through mid-bid, site and progress meetings.
  • Engaging in external consultants/SMEs.
  • Managing the appropriate dissemination, communication of client tender clarifications and facilitation of appropriate action in response.
  • Gathering and issuing any clarifications required to the client.
  • Managing inputs and outsourcing to support bid production, including 4D visualisation and external printing.
  • Write the bid
  • Answering plan/storyboard with the team to understand the question or scoring mechanisms and set a clear path for bid team to deliver in line with your strategy.
  • Taking a proactive role in the writing of standard content, CVs and project profiles - closing gaps where possible by interviewing / questioning relevant parts of the business.
  • Proofreading or copy editing responses to ensure compliant, compelling, benefits-driven copy.
  • Taking the lead in writing compelling, factual, focused executive summaries.
  • Submit the bid
  • Ensuring all required reviews and adjudication/sign-offs are achieved in line with Mace way.
  • Taking the lead in the bid programme, ensuring content is fully compliant, quality checked to deliver a bid to deadline.
  • Post-tender presentations
  • Facilitating storyboarding of presentations.
  • Coaching and rehearsing the team to ensure successful delivery.
  • Continuous improvement
  • Capturing all new content within bid content library (aftercare).
  • Recording and sharing lessons learnt and best practice.
  • Line management duties
  • Supervising 1 to 4 bid managers and writers.
  • Managing and developing direct reports.
  • Identifying development needs for individuals to feed into the overall department learning and development plans (if applicable).
  • Providing appropriate coaching and feedback to members of the department outside of line management to support the ongoing improvement of the department.
  • Contributing and influencing the department’s overall resourcing planning.
