Job Description

Chartered Institute of Architectural Technologists (CIAT)Senior Administrator: Education and International 12 Month Contract £28,000Busy, pro-active Professional Institute within the built environment seeks a senior administrator to work primarily acrossits Education and International Departments.The successful candidate must possess strong research and administrative skills, with the ability to take responsibility for their own work, be a good communicator and have confidence to represent the Institute atmeetings. The job role includes general administration for the Education and International Departments as required; acting as secretary for meetings and liaising with external contacts. Pleasenote we are only able to provide feedback to candidates that have been interviewed (if requested).Immediate start.No agencies.Job DescriptionThe Senior Administrator: Education and International is responsible to the Assistant Education Director for the co-ordinationand administration of the Education Department, and the Assistant International Director for the co-ordination and administration of the Institutes Specialist Registers and its international activity. The Education and International Departments are headedup by the Education and International Director, who reports directly to the Chief Executive.The main duties include: attending Accreditation and Centre of Excellence visits if required, either in person or virtually, to provide associated administrative support,including taking notes and writing reports managing projects in relation to the Institutes Specialist Registers and undertaking their day-to-day administration as necessary; providing support to the Assistant Education Director to implement the InstitutesContinuing Professional Development (CPD) policy; including managing the CPD Register to ensure its growth; liaising with the Region/Centre Committees and aspirATion Groups, and external organisations in relation to CPD and the CPD Register; working with externalorganisations to maintain relationships and partnerships as well as investigating opportunities to establish new connections, in order to increase the recognition and growth of the Institute globally; liaising and working with educational establishments andcareers organisations to promote Architectural Technology as a profession of choice, assisting on Institute promotional campaigns in relation to Education, International, Specialist Registers and CPD/CPD Register; responding to queries/correspondence in relationto Education, International, Specialist Registers or CPD/CPD Register via all mediums; undertaking relevant research and collating responses on consultative matters as directed; producing and sourcing articles/case studies for publication, as directed; undertakingmeeting administration and minutes/notes, and preparing papers/reports; other general administrative duties as required; work-sharing projects with other Departments within the Institute; representing the Institute externally if requested; and acting as partof the office team.The Education and International Departments have office manuals which detail protocols. You would be required to ensure they are maintained as they apply to your role and responsibilities. A work laptop will be provided.The Senior Administratorwill be required to travel to out-of-office meetings as directed which might involve overnight stays at the Institutes expense. The Institute has a policy in place for time of in lieu for working "out of hours".Essential criteria Extensive administrativeexperience with excellent organisational and interpersonal skills and a good eye for detail; Strong communicator, through both written and verbal communications; Self-starter with an ability to prioritise workloads and who can work with minimal supervision;Experience in implementing and reviewing processes and systems; Experience in compiling reports and papers for a wide range of audiences; Experience of diary management, coordinating meetings and arranging logistics; Proactive and flexible, willing to learnnew skills; Ability to think creatively and innovatively; General IT skills with knowledge of MS Word, Excel and databases.Desirable criteria Knowledge of UK Further and Higher Education; Experience of professional bodies/membership organisations; Demonstrableinterest in working in an international setting; Experience of event administration; Experience of servicing committees; Experience of arranging/monitoring CPD.
