Job Description

Secretary / Leadership and Governance Administration Officer with excellent administrative, organisational and time-management skills who has experience providing executive support preferably at Board / Senior Management level is required for an international development charity based in London.SALARY: starting at £35,703 - £40,929 per annum (includes London Weighting Allowance) + Excellent Benefits (see below)LOCATION: LondonHybrid may be considered (up to 40% home based)JOB TYPE: Full-Time, PermanentWORKING HOURS: 35 Hours per WeekJOB OVERVIEWWe have a fantastic new job opportunity for a Secretary / Leadership and Governance Administration Officerwith excellent administrative, organisational and time-management skills who has experience providing executive support preferably at Board / SeniorManagement level.This is a key role ensuring the organisations Leadership (the Executive Team) and Governance (Board of Trustees) are enabled to fulfil their remits well through sound administration, organisation and relationship building skills.This role sits at the centre of the organisation and will have a broad overview of key issues affecting the organisations work and the management mechanisms in place to manage them.Working as the Secretary / Leadership and Governance Administration Officer you will have proven experience of providing sound administrative and organisational support, preferably at a board/senior management level. Excellent communication and interpersonalskills with an ability to interact across different cultural settings is essential.As the Secretary / Leadership and Governance Administration Officer you will also have experience of setting meeting agendas, following up on key actions and experience of forward planning with excellent project management skills to support the LeadershipTeam.You will also line manage the Leadership and Governance Assistant.As a successful candidate you will ensure:

  • The Executive Director is accessible, well-briefed and their time is utilised strategically and well
  • The Governance and Leadership meetings and functions are well planned, effective and documented transparently
  • The governance reporting requirements are fulfilled to a high quality and in a timely fashion
  • The key stakeholders receive a high-quality service from the small Directorate team
DUTIESYour duties as the Secretary / Leadership and Governance Administration Officer include:Ensuring effective Governance (30%)
  • Acting as Secretary to the Trustees and Committees, ensuring that the annual meeting cycle is agreed, records of meetings are kept and that external submissions (e.g. the annual report or other reporting) take place
  • Ensuring Trustee and Trustee committee meetings are well-planned
  • Liaise with Trustees on governance matters, including due diligence requests, events, planning a schedule of Trustee travel to international programmes as well as coordinating Trustee recruitment, onboarding and on-going training and development
  • Continue a programme of continuous process improvements
Ensuring the effective running of the Executive Team (25%)
  • Ensuring Executive Team meetings are well-planned
  • Brief the Executive Team on matters arising
  • Process organisational grants and memberships
Support to the Director (40%)
  • Manage the diary of the Executive Director
  • Have oversight of the Executive Director inbox, ensuring that requests are followed-up and that communications are drafted and signed off as necessary
  • Forward planning and ensure coordination of travel
  • Prepare briefings and presentations for the Executive Director
CANDIDATE REQUIREMENTS
  • Proven experience of providing sound administrative and organisational support, preferably at a board / senior management level
  • Experience of setting meeting agendas
  • Experience of forward planning and ability to take a project management approach: bringing in the right people and using their contributions well
  • Good understanding of charity governance requirements
  • Communication and interpersonal skills that enable interact across different cultural settings; the ability to write briefings from complex information and to signpost key information
  • Sound knowledge and competence in MS Office including MS Teams
  • Ability to manage and organise a complex work pattern, managing competing priorities and dealing with senior level stakeholders
  • Ability to work with discretion and confidentiality

  • Being able to work in Spanish, French or Portuguese
