Job Description

As the Secretary, you will support the Technical team with a variety of admin duties, including producing documents, calender management and travel arrangements. This is an immediate start role for at least 12months.Client DetailsYou will work in London for a super energy company who are one of the largest in the world, they would be a brilliant name to include on your CV.DescriptionAs the Secretary, supporting the Technical team, you will be:

  • To provide routine secretarial support and general office and administrative support to Technical / Operations Support / Reservoir & Petroleum Engineering and Non Operated Assets teams.
  • To provide internal and external mail co-ordination and distribution.
  • To handle general enquiry telephone calls for the department.
  • To be responsible for maintaining effective filing and archiving systems, both paper & ECMS, updating as appropriate to meet the Department needs.
  • To prepare and present word processed documents.
  • To ensure and maintain Company standards and layout of documents and mail.
  • To provide support in preparation of presentations, graphics and spreadsheets.
  • To organise and administer travel and accommodation arrangements for Department staff.
  • To maintain Department attendance and holiday records. To carry out reconciliation of holiday cards at year end, where required.
  • To perform the role of stationery coordinator ensuring adequate supplies to meet Department needs.
  • To maintain updated Department calendar planner.
  • To co-ordinate and organise meetings ensuring all meeting arrangements are made with regard to room bookings and refreshments.
  • To monitor the progress of authorisation forms, keep up-to-date the database of the authorisations and provide information to department staff as appropriate.
  • To process and manage efficiently department Service entry via SAP
  • To provide support towards Contract Management for the department
  • To assist setting up & keeping track of Internal Job Orders
  • To maintain Departmental site on the intranet page
  • To support and provide cover for other Secretaries/Administrators during periods of absence, as required
  • To ensure full adherence to the Companys Health, Safety & Environment policies, procedures and standards
ProfileTo be successful in applying to this energy company in London, you should have:
  • Secretary experience or that of a similar job title
  • Support senior management
  • SAP knowledge
  • ability to work with high work loads
Job OfferYou will be rewarded with an hourly rate of 18p/h-24p/h
