Job Description

Our client is an extablished and highy succesful Private Medical client in the West End of London. Our client is seeking a strong administrative professional to support their Patient Coordination team which is dedicated to bringing in new patients to theclinic.The purpose of this role is for all patients to have a coordinator that can help them and follow them through their journey from first contact to continuing aftercare. The primary goal of the Patient Care Administrator is to support the Patient Care coordinatorsand at the same time deliver outstanding patient care.The job requires:

  • The ability to set personal goals above prescribed goals
  • The ability to deal with high stress environments in a pro-active manner
  • The ability to differentiate between important and urgent tasks, and prioritise and complete multiple tasks

  • The need to demonstrate flexibility, including duties, hours of work, breaks, working conditions, working with team members, protocols and procedures, updates in knowledge etc.
  • An openness to change, grow, and take on greater levels of responsibility and performance
  • The ability to communicate and interact effectively, calmly and compassionately, during various points of contact with patients and colleagues alike
  • You will need to be flexible and accommodating
  • You will have to be knowledgeable about the clinic
  • You will need to know what the clinic can offer the client in any number of special circumstances
  • You will need to provide all the information that the client requires to enjoy their visit to the clinic
PERSONAL REQUIREMENTS
  • A self-starter
  • A minimum of 2 years experience in customer facing/administrative roles
  • Excellent verbal and written communication
  • Clerical and administrative experience using computers
  • Working knowledge of a simple database application, word, excel, email and Internet
  • Some post secondary education will be advantageous
  • Good problem solving skills
  • Excellent organisational skills
  • Excellent customer service skills
DUTIES - DAILY
  • Answer queries on the phone
  • To meet with the patients at their initial consultation and guide them through their first visits and making them aware that you will be their contact person if they have any queries in the future
  • Completing to-do lists
  • To book post-operative and enhancement appointments
  • Create deposit receipts
  • Chase refractive prescriptions for patients
  • Be responsible for waiting list/cancellation list & priority bookings
  • Distribute leads
  • Ensure all the clients needs are met while visiting the practice
  • Distribute any incoming emails and be in charge of the finance email account
  • Scanning
  • Taking meeting minutes
  • To update all records on the patient database as appropriate
  • To play an active part in the maintenance of a supportive learning environment within the clinic
  • To complete the end of day administration
  • Support the Patient Care Coordinator Team
  • To hit monthly targets
  • Collate various reports as per managements wishes
  • Send target emails to the Patient Care Coordinator team
  • Reschedule patients
  • Checking Patient Care Coordinator emails and distributing or responding when a member of the team is on annual leave
