Job Description

* Impeccable admin skills required - ideally ARLA Level 3* Attention to detail & accuracy* Superb customer service levels & management skillsGKR London are working exclusively on an exciting new role in a highly successful division of an internationally recognised property business. The role is within the Lettings Safety division and requires someone with outstanding customer service, impeccable administration skills and the ability to help the overall manager to oversee the team. The role of the Safety Team Supervisor is to ensure the smooth day to day running of the Lettings Safety Team, delivering high levels of customer service and attention to detail throughout the process. The role also has specific responsibility for complianceverification for new instructions for the Investment Lettings Management TeamResponsibilities:Client care:* Develop and maintain an excellent knowledge of Landlord compliance duties and associated documents to be able to advise both other team members and the wider business.* Act as the main point of contact for the Investment Lettings Management Team, ensuring all landlord safety checks for new deals are verified accurately and within agreed SLAs, specifically:* Electrical safety checks (EICR, and PAT)* Smoke Alarm and Carbon Monoxide Alarm* Gas safety checks* Blind safety* Book landlord checks and record data accurately where required.* Oversee whole building safety checks for new ILM properties, ensuring data for each property is obtained efficiently and with minimum duplication.* Report weekly or monthly as required to show compliance or any exceptions to compliance* Pay contractor invoicesTeam Supervision:* Manage workload and day to day queries for the new deals team, including initial investigation of any complaints.* Assist with training and safety sign offs for new team members / existing team members periodically.* Work closely with both Tenancy Progression and Front Offices to develop and maintain good working relationships.* Encourage team members to build good relationships with their individual offices.* Ensure the team maintain and provide required weekly and monthly statistics within the correct time frame.* Weekly engagement with team members to ensure the team can maintain their output with good customer service and address any immediate concerns/issues.* Manage the desk rota when required.* Deputise for the Safety Team Manager when required.* Support with recruitmentSystems:* To develop comprehensive knowledge of the systems used, to be able to support other team members and ensure information is entered accurately and efficiently, using the available tools to best effect.* To update the diary on our internal system for all safety checks and note next due dates* Strong Microsoft Excel skills* Make a positive contribution to development of team members, improvements to systems and processes.* Other similar general and administrative tasks as required by the line manager.Professional experience and personal skills profile:* A working knowledge of the relationship between Landlord and Tenant as it relates to property lettings.* ARLA Level 3 qualification would be advantageous* Very strong organisation and time management skills, analytical thinking and solutions orientated* Ability to communicate at all levels in a professional and supportive manner* Leadership skills advantageous* A flexible, adaptable and a co-operative attitude* Good standard of English grammar, spelling and take pride in presentation of work and self.If this role sounds like the opportunity for you or you have questions about it contact Rose Lock today for everything you need.GKR London are passionate about equity, diversity and inclusion.
