Job Description

Receptionist Duration - 9 Months Location - London / Fully on-sitePontoon is an employment consultancy. We do this by showcasing their talents, skills, and unique experience in an inclusive environment that helps them thrive.About the roleAs a Receptionist you will be running our London reception desk - providing an organised, clutter-free and immaculately presented space, greeting clients and offering refreshment services. Youll manage client room bookings, post and arrange access cardsfor visitors. Without you, we would lose the trust of our clients and colleagues.We need exceptional people who are customer driven team players. Were looking for energetic professional people who are excitedby the opportunities this presents and the difference they can make.What youll be doing

  • Ensure an organised, clutter-free and immaculately presented reception desk, with all necessary stationery and material.
  • Greeting and welcoming clients in the reception area, recognising returning and regular clients and recalling their preferences.
  • Escorting/directing guests to where they need to go/to lifts where appropriate.
  • Maintaining confidentiality and ensuring the appropriate client contact for each situation.
  • Informing colleagues of the arrival of external clients / taxis / couriers etc.
  • Actioning all incoming queries via e mail, telephone and post, deciding on priorities/actions, receiving, sorting and distributing daily mail/deliveries and dealing with any customer complaints.
  • Managing access cards for visitors and any other visitor administration tasks.
  • Ordering front office supplies and maintaining the stock inventory.
  • Managing cloakroom and left luggage when required and providing refreshments for client meetings.
  • Identifying, monitoring and mitigating risks, escalating where appropriate.
  • Supporting ad-hoc project work as required.
  • Liaising with the Helpdesk to support colleagues with Fault Reporting.
  • Ad-hoc Event support
Your qualifications & experience
  • Experience providing customer service over the phone and face to face
  • Work experience in the hospitality/events sector beneficial
  • Youll maintain an extensive knowledge of the surrounding local area and be able to give answers and suggestions to clients when asked.
  • Youll naturally seek opportunities to meet clients not necessarily from behind the reception desk.
  • Youll have the ability to make decisions with limited referral.
  • Youll be a point of contact for all general enquiries from visitors, clients and colleagues so its important to be flexible and adaptable with a real can-do attitude.
