Job Description

Job Title: Property Manager (Grade 1)Reports To: Head of Divisional Property ManagerSalary: Up to £45,000. Location: London Hybrid 4 days a week in their Borham Wood with occasionally travel to other sites. They take pride in their ability to adapt to changing requirements, stay on the cuttingedge of technology, and provide solutions that meet the unique needs of each property we manage.Position Summary:As a Property Manager you will play a pivotal role in efficiently managing a portfolio of properties, ensuring high-quality customer service, and complying with all legal requirements. You will work closely with service managers and support staff to delivertop-notch service and maintain positive relationships with customers. Your responsibilities encompass a wide range of tasks, from managing property maintenance to overseeing legal compliance and budget management.Key Objectives:* Supervise service managers or support staff within your portfolio.* Oversee reactive maintenance, ensuring job orders are raised appropriately and customers are informed.* Promote exceptional customer service and aim for 50 Feefo reviews per month.* Keep customers informed at every touch point and provide monthly reports.* Manage major works, notices, and oversee projects in compliance with formalities.* Publish well-presented newsletters on time.* Maintain budget accuracy with no more than a 5% variance at year-end.Key Responsibilities:* Efficiently manage your property portfolio while providing all-around customer service.* Address customer inquiries through various communication channels.* Ensure compliance with health and safety, fire risk assessments, asbestos regulations, and other legal requirements.* Handle site reports and lift engineering works promptly, with action plans in place.* Collaborate with the Head of Client Services to meet deadlines.* Plan meetings for the upcoming year when taking over new sites.* Create contract orders and manage expenditures in line with regulations.* Maintain up-to-date health and safety and fire risk assessments.* Authorise expenditures to ensure steady cash flow for the site.* Schedule, communicate, and document leaseholder and resident meetings.* Ensure that all buildings have updated asbestos reports or developer confirmation.* Conduct site visits and report findings within a week.* Work on reducing costs and improving service quality by building strong contractor relationships.* Attend AGMs and client meetings, writing and distributing minutes.Technical Skills:* Solid knowledge of property management principles and procedures.* Completion of stage 1 of the first IRPM exam.* Self-motivated with a commitment to continuous improvement and learning.* Strong interpersonal skills to understand and empathise with customer needs.* Proficiency in the QUBE computer system.* Proficient in Windows-based applications. Personal Effectiveness:This role requires effective workload planning, the ability to work independently, and flexibility in approach. Effective communication, both written and verbal, is crucial.As a key team member, you should be capable of responding to daily events in a positive and consistent manner, offering support and assistance where needed.
