Job Description

Personal Assistant to Executive Director of Industrial Strategy & Member Relations FTC up to 12 months (SOR039)The role

  • Managing the exceptionally busy inbox for the Executive Director as required, responding, signposting, filing and bringing urgent matters to the forefront, as appropriate.
  • Complex diary management using Outlook, with a large number of external stakeholder meetings, often with senior leaders in the NHS, the trade union movement and Government.
  • Drafting and / or assisting production of high quality documentation - e.g. briefing documents, PowerPoint presentations, reports and papers, including board papers.
  • Together with the PA team, arrange, attend and minute meetings and Committees that are considered appropriate to support, ensuring accurate records are made and circulated on time.
  • Co-ordinating travel itineraries and arrangements with our online travel agent, Click Travel.
  • Offering appropriate advice and support to external contacts, managers and staff within the directorate (or from across the organisation), particularly in the absence of the Executive Director
  • Covering/deputising for other members of the PA team as required
About you
  • You will be an highly skilled and competent PA with experience working with busy Senior Executives with complex demands on their time, and a large volume of email traffic and a significant number of workstreams.
  • You will be exceptionally organised and able to track and manage multiple pieces of work through to completion, meeting deadlines.
  • You will have a high attention to detail and accuracy with excellent administration skills.
  • Self-motivated, you will be confident and capable to work with minimal supervision, in a collaborative and collegiate way.
  • You will be confident dealing with people and be a positive and supportive member of the team.
  • You will be an excellent communicator, and be an effective conduit for information essential for others in the team to fulfil their work priorities.
