Job Description

Our client are a leading non for profit organisation, who are searching for a part time Personal Assistant, to join a friendly and motivated team in South West London on a part time basis.The ideal candidate will have excellent written skills, alongside a strong willingness to get stuck in with various projects in the office!Interviews will be commencing ASAP! You must be available immediately.JOB TITLE: Personal Assistant - Part TimeJOB TYPE: Permanent, Part time (3 days)HOURS: 09:00am - 17:00pm (Flexible working)SALARY: £28,000 - £32,000 (FTE)LOCATION: Shepards Bush - SW LondonCULTURE: Friendly environment, supportive, bright and modern office, fantastic location, fast paced, socialBENEFITS: 25 Days holiday plus bank holidays, pension contribution, social events, dress down days & more!DUTIES:

  • Support the Chief Executive with diary management, correspondence, and travel arrangements
  • Schedule team and Senior Management team meetings and produce minutes
  • Organise Trustee and Committee meetings including liaison with Trustees, production of meeting packs and preparing minutes
  • Provide desk research and support as required by the Chief Executive
  • Credit expenditure log for Chief Executive and processing expenses
  • Support with reviews/probation for the team
  • Maintenance and general upkeep of the office, liaising with contractors as appropriate
  • Making recommendations to the Finance Manager at the end of contracts for office services to ensure value for money and minimum environmental impact
  • Overseeing cleaning for the office and liaising with cleaning operative
  • Managing the facilities of the office, Health and Safety Inspections, Fire Risk Assessment, Boiler service and any ad hoc maintenance
  • Keeping the office and stationery full equipped. Order all office supplies in a cost effectively and efficiently
  • Act as first point of contact for all external enquiries and transfer to the appropriate team
  • Open and scan all post and distribute to the team
  • Act as co-ordinator in chief for hybrid working
  • Setting up annual leave and timesheet records
  • Arrange training for the team or individuals
  • Managing petty cash and credit card expenditure log
  • Organise team away days and other social activities
  • Support with onboarding/offboarding process, induction packs/schedules including IT setup
  • Supporting the Finance Manager with ad hoc duties and covering Finance Admin Officer when on leave
  • Assisting with ad hoc projects in the office
Experience, knowledge and skills required
  • Educated to degree level - 2.1 or above
  • Excellent written skills
  • Prior experience as an EA / PA within an office environment
  • Able to work quickly and efficiently
  • Ability to manage a busy workload and work under pressure
  • Able to build professional relationships with coworkers
  • A solid interest in working within non for profit
  • Good IT skills - MS Word, Excel, PowerPoint, Outlook & Teams
