Job Description

PA to CEOPart Time2 days per week £13.50 - £14.50 per hour depending on experienceWhite City My client, a hospitality company with virtual good halls and delivery kitchens across London, are looking for an organised, proactive and confident candidate to provide PA support to the CEO, working 2 days per week initially, with the potential to increaseto 3 days You will have proven experience within a similar secretarial role supporting at Director level or above, and have strong diary management and travel coordination skills.The Role

  • Extensive diary and calendar management including planning, booking, and arranging travel across multiple time zones
  • Occasional scheduling of personal engagements and social events
  • Manage Founders inbox including fielding calls and emails when necessary
  • Assist Founder with prioritising and planning their workload and making suggestions to increase efficiency
  • Storing and maintaining the confidentiality of highly sensitive information
  • Draft, revise and when necessary, finalise PowerPoint presentations for meetings
  • Ensure agendas, slide decks, and reports are prepared and collated ahead of time
  • Taking minutes at monthly H/O meetings and collating information with action points
  • Take ownership of asana and keep track of projects and manage timelines
  • Manage and submit corporate card expenses on a daily and weekly basis
  • Process HO expenses and query any submissions in accordance with company policy
  • Process departmental invoices and liaise with finance to ensure payment is made
  • Adhoc projects at the direction of the Founder
Requirements
  • Minimum of 2 years experience within a PA/Team Assistant/Administrative role
  • Proven skills in diary and travel management
  • Excellent communication skills
  • Ability to build relationships with people at all levels
  • IT literate, GSuite, Word, Excel, PowerPoint
  • Strong organisational and time-keeping skills
  • Ability to demonstrate discretion and confidentiality
