Job Description

Personal Assistant to 2 Executive DirectorsHourly Pay: Up to £21.43 plus £2.59 per hour holiday pay (equivalent to a full-time annual salary of £39,000) Depending on ExperienceHours of Work: 9:00 - 17:00, 35 hours per weekDuration: Initially temporary for 3 months with a view to go permanent for the right candidateLocation: LondonHybrid Working: 2 to 3 days per week in the office based on the needs of the Executive DirectorsAre you an experienced PA with a knack for juggling complex tasks and supporting high-profile stakeholdersCharity People are thrilled to be partnering with a professional body based in London. We are seeking an experienced and proactive PA to ensure the smooth and efficient running of the executive team.Key Responsibilities:

  • Manage complex diaries, coordinating meetings with a range of internal and external stakeholders, including high-profile individuals.
  • Liaise daily with the Executive Directors, prioritising tasks and acting as a gatekeeper for external contacts.
  • Assist in managing inboxes, crafting and responding to emails on behalf of the Executive Directors.
  • Review board papers, ensuring accuracy in grammar and spelling.
  • Act as an internal liaison, working with teams to meet deadlines and organise briefings ahead of key meetings.
  • Support the Executive Directors day-to-day needs, keeping them on schedule and accountable for important matters.
  • Manage travel arrangements both within the UK and internationally.
  • Handle paper collateral, take minutes of meetings when required, and support other PAs as needed.
Skills, Knowledge, and Experience:The ideal candidate will have:
  • Substantial experience as a Personal Assistant in a busy senior office, including experience supporting senior executives dealing with Boards and committees.
  • Initiative, discretion, and a strong sense of confidentiality.
  • High attention to detail and a proactive, enthusiastic outlook.
  • Excellent influencing and communication skills at all levels.
  • Strong team player abilities, forging excellent relationships with colleagues.
  • Experience managing busy diaries, prioritising effectively.
  • The ability to operate in a fast-paced, complex environment with diplomacy and sensitivity.
  • Desirable experience working in a demanding Membership Body or Institute with complex Governance protocols.
  • Budget monitoring and administration experience.
  • Excellent IT skills, particularly in Microsoft Office: Excel, PowerPoint, Word, and Outlook.
