Job Description

Order Fulfilment Exec (p/time)£25k salary (pro rata)20 hrs per weekMon - Fri 9am - 1pmBased - Chiswick, West London W4Immediate startRole / Duties:The Order Fulfilment Officer (OFO) is part of the Operations Team and tasks in the team include:

  • Deliver WEEE, Batteries and Packaging compliance on behalf of members
  • Manage Local Authority WEEE and Battery contracts
  • Manage PRN purchasing
  • Manage supply chain for WEEE, Batteries, and Packaging
  • Build and deliver take-back services in the UK
  • Compile and analyse operational data and produce business KPIs to shape strategy
  • Inform development and implementation of UKs operational database
  • Develop relationships with Local Authorities, Suppliers and other stakeholders to support business development
The role of the OFO is to ensure that:
  • Collection requests are managed, from inception to final completion of the collection process on a daily basis
  • Co gathers all the documentation needed to demonstrate compliance and the completion of its duties (transport documents, weight slips, consignment notes, evidence notes, invoices, etc.)
  • Validation of pickups/transactions entered into online reporting system
  • Monthly Waste Data Flow reporting to Local Authorities
  • Job share with another OFO to manage assigned accounts and daily activities
  • Receive pick-up requests/enquiries from collection points and suppliers by email, phone and online
  • Process the pick-up requests/enquiries by allocating them to the relevant collection suppliers
  • Track the completion of the pick-up requests by checking the confirmations and documents returned by the suppliers
  • Chase suppliers that are late in returning confirmations and documents until task is completed
  • Check at the end of each day, each week and each month the status of the pick-up requests and confirmation/documentation return
  • Reconcile invoices received from suppliers and collection points with collection, storage and treated activity, as evidenced by confirmations and supporting documents received
  • Manage and reconcile monthly data entered into Flex and other formats (internal spreadsheets)
  • Prepare expected evidence tonnages in line with collected tonnages / request evidence notes from suppliers
  • Ensure all internal reporting is accurate and completed by required deadlines (Inc. cost accruals)
  • Support the Compliance & Quality Manager to complete KPIs, measure performance regularly, and provide data analysis where required
Role ProfileSkills
  • Computer proficiency especially Excel and relational databases
  • Excellent written and verbal communication skills, strong interpersonal skills and command of the English language
  • Organised, methodical and self-motivated
  • Team player
  • Results oriented, ability to propose simple and pragmatic solutions
  • Ability to build long term relationships
  • Knowledge of logistics and recycling services and local authorities is appreciated but not essential
Experience
  • Minimum 2 years experience with operational logistics and/or customer care call centres
  • Understanding of Packaging, WEEE and Batteries Regulations - desirable
