Office Manager - West End - £40,000 - £55,000We have the most outstanding opportunity for an Office Manager who is really friendly and engaging to join a business who are in scale up mode and are absolutely outstanding in their field.(Renewable energy).The company are boutique size at the moment, but growing rapidly and we are looking for an individual who enjoys lots of variety and is not afraid to roll up the sleeves, with a wide remit.Acting as a true lynch pin in the office, you are the person who can handle just about anything and have a great sense of humour and willingness to muck in!The role is based in the West End and an office relocation is on the cards, (new office will also be in the West End), so an individual who enjoys that piece would be ideal and perhaps you have handled the logistics of an office move before.Hours are 9-5 with a little flexibility and you will be based on site for 4 days a week, with 1 day working from home. This is an exciting role and you will take responsibility for the smooth day-to-day running of the London office and the successful candidate will live and breathe the companys values and promote the culture and ethics. You will also provide outstanding administrativesupport to colleagues in all other departments as required. You will be the go to person for all general enquiries, health and safety, office stock and stationery, meeting room arrangements and catering. You will ensure that a first-class reception service is offered to our VIP visitors, that they are well looked afterand leave with a positive impression of our business. You will also have the opportunity to get involved with a variety of projects, such as organising team social events and facilities.This is an important support position with great variety in duties and tasks, so the ability to be proactive, flexible and communicate effectively with a wide range of stakeholders will be crucial to succeeding in this role.Duties below:

  • Provide a warm and welcoming reception service. Greeting all guests and visitors of the company with an equal and outstanding level of customer service that promotes a lasting positive impression of the business.
  • Oversee internal meeting room bookings and ensure the area is tidied and restocked when not in use. Arrange outsourced lunch catering for important meetings and/or prepare beverages on request. Arrange and book external meeting rooms as required
  • Manage the administration team, ensuring all calls coming to the main office telephone number are answered and screened, that detailed messages are taken and enquiries are directed to the relevant people and/or departments.
  • Respond to a wide range of enquiries via email. Manage and organise the inboxes to ensure that enquiries are answered promptly, forwarded and filed away appropriately and that service levels are consistently high.
  • Manage both inbound & outbound post and courier parcels.
  • Manage, order and replenish the stock of stationery, photocopier inks and paper, tea, coffee, sugar, milk and other sundries or supplies.
  • Maintain the visual aesthetics and safety of the office, equipment and onsite facilities and report any issues or faults to the appropriate parties.
  • Lend administrative support to other teams, departments and satellite offices within the Company. Assist in the creation of presentations, format documents, filing, update lists, contacts and help maintain the Company intranet site.
  • Ensure all purchases are carried out with strict adherence of the PO process, assist the Purchasing Team with matching receipts and invoices. Liaise with contractors and suppliers; and assist senior management with expenses claim forms.
  • Assist with travel arrangements for business trips. Booking hotels and accommodation, flights, trains; assist with VISA applications and covid-19 travel testing
  • Ensure that all manual and computerised data is managed and stored in the appropriate fashion and in compliance with General Data Protection Regulations (GDPR).
  • Assist the HR manager with the on-boarding and induction of new employees and exit procedures for leavers, including the management of computers and other IT equipment, making business cards, demoing our software tools to new starters.
  • Organise team activities, company events and parties. Manage employee birthday cards and gifts for major life events. Help to create sensitive strategies to support and improve employee relations, engagement, and wellbeing.
  • Manage internal H&S procedures ensuring Covid regulations are adhered to with our own track & trace system, and office health & safety and risk assessments are up to date and compliant.
  • Administrator of company HR/Admin software applications. On/off-boarding individuals, and troubleshooting when needed.
  • HR administration- assisting employees with booking/changing holiday & sickness records, assisting head of HR with data uploads and onboarding information and troubleshooting.
