Job Description

JRRL are looking for a professional and proactive Office Manager to lead the school’s administrative function and oversee the management of the school office, providing a smooth and efficient service for parents, pupils and staff. The rolerequires someone with experience of working in an administrative capacity and managing a team. This is an exciting opportunity for someone who is interested in gaining experience within the education sector.Key areas of responsibility for the Office Manager:Administrative Support

  • Leading and managing the school office and receptionist
  • Approving, organising and allocating tasks across the team
  • Being responsible for all correspondence passing through the school office
  • Working with the Director of Co-Curricular Engagement to undertake administration and associated tasks for co-curricular activities including school trips and clubs
  • Responding to email communications from parents, staff and outside organisations
  • Drafting and typing correspondence as requested
  • Providing reception cover as required
  • Providing support for various School events
  • Assisting in the administration of parent, prospective parents and community events
  • Overseeing the management and procuring of all school stationery
  • Overseeing all car park allocations and annual permits
Office Support
  • Sourcing school equipment
  • Leading on organisation of school photographs
  • Monitoring school mailboxes
Marketing Support
  • Assisting in producing booklets and other internal promotional materials
  • Assisting with general admin relating to special projects, marketing and PR activity
  • Managing digital permissions
  • Updating school website with minor updates
  • Updating Gallery page and News page on school website
  • Liaising with designer/printers to re-order as needed
  • Producing signs and A Board posters using school template
  • Assisting in the production of the parent newsletter
Finance
  • Being a main point of contact for ordering
  • Overseeing all external hire invoice production
Pastoral Care, Safeguarding and Well-being
  • All members of staff have a responsibility and duty of care to safeguard and promote the welfare of pupils. Staff must be aware of the systems within the school which support safeguarding and must act in accordance with the school’s Safeguarding & ChildProtection Policy and Staff Code of Conduct.
Person Specification for the Office Manager:
  • High level of organisation
  • Exceptional interpersonal and communication skills
  • Ability to work autonomously, prioritise and manage a diverse and demanding workload
  • Possess meticulous attention to detail
  • Able to maintain confidentiality and display a high degree of integrity and diplomacy
  • Strong IT skills
