Job Description

  • Are you an experienced Medical Receptionist/Administrator with NHS, GP Surgery or Medical Practice experience
  • Do you have a working knowledge of EMIS Web
  • Do you have attention to detail and high level of accuracy
  • Are you happy to work for 2 months and potentially longer in Harrow, working 37.5 hours per week Monday to Friday
  • Can you commence employment immediately or within 1 weeks if successful

  • Offer general assistance to the practice team and project a positive and friendly image to patients and visitors, either in person or via telephone
  • Receive, assist and direct patients in accessing the appropriate service or healthcare professionals in a courteous, efficient and effective manner
  • Undertake a variety of administrative duties to assist in the smooth running of the Practice including the provision of secretarial and clerical support to clinical staff and other members of the practice team
  • Facilitate effective communication between patients, members of the primary health care team, secondary care and other associated healthcare agencies
  • Duties and Responsibilities:The duties and responsibilities to be undertaken by members of the reception team may include any or all the items listed. These may vary from time to time under the direction of management, dependent on current and evolving practice workload and staffing levels:
  • Provide a welcoming effective and efficient reception service to patients and visitors
  • Open / lock-up practice premises and maintain security in accordance with Practice protocols
  • Clear and re-stock consulting rooms as per rota
  • Act as a chaperone for patients as and when required
  • Assist with answering incoming/group calls
  • Ensure that patient consent is checked when issuing printed prescriptions
  • Ensure Third Party consent is completed appropriately
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary registration
  • Ensure the prescription box is retained alphabetically
  • Maintain appropriate room temperatures using the Aircon facilities
  • Display Wet floor signages to adhere to Health and Safety guidelines (if required)
  • Ensure consent is recorded for all patient related information
  • Ensure patients with special requirements/needs are reported to the clinician
  • Support clinicians with emergency situations (if required)
  • Provide new patients with the correct registration documents whilst checking and ensuring forms are completed adequately for processing
  • Provide patients with forms to request change of address, ensuring forms are correctly completed for admin teams to process
  • Keep the reception area, noticeboards and leaflet dispensers tidy and free from obstruction and clutter
  • Advise patients of relevant charges for private (Non General Medical Services) services, accept payment and issue receipts
  • Maintain adequate stock of patient forms
  • Carry out a range of administrative duties including faxing, photocopying, filing and retrieving patient paperwork/medical records as required
  • Process, acknowledge and complete practice notes (PNs) as per rota, twice daily
  • Ensure scanning guidelines are followed daily, preventing any backlog, ensuring fair allocation to clinicians
  • Process and distribute incoming (and outgoing) mail
  • Process repeat prescriptions in accordance with practice guidelines, electronically and manually
  • Handle incoming calls from patients and other callers as required
  • Provide refreshments for staff and visitors as required/rota
  • Ensure patients with no prior appointment but who need urgent consultation are seen in a logical order
  • Assist patients with information/booking for Out of Hours services, Urgent Care, Walk in Centres, GP Access Centres
  • Deal with all general enquiries, explain procedures and make new and follow-up appointments
  • Ensure patients are booked into the correct clinic, such as Minor Illness clinics
  • Follow the skill set list to book patients with the appropriate clinician
  • Book home visit requests as per practice protocol
  • Ensure that consent is recorded when assisting patients
  • Ensure that patients who required Interpreting services are booked in accordance to local protocol
  • To successfully commence employment as a Medical Receptionist you will be required to:
  • Register with Your World Healthcare and become fully compliant prior to commencing employment.
  • Apply for a valid in date DBS if you not yet hold a current DBS on the update service OR an enhanced DBS dated within the last 12 months (this can be applied for as part of your application via Your World Healthcare)
  • Provide 2x professional employment/educational references covering the last 3 years.
  • Please note: A valid in date DBS must be held in order to commence employment. You will also be required to fully register with Your World Healthcare to work in placements as a Medical Receptionist.Please only apply for this role, if you have a good evel of experience using EMIS Web Software (as this is a requirement for this post) Required skills
