Our client is currently seeking a Japanese speaking, proactive Executive Assistant to join the CEO Office.The ideal candidate must have prior experience in booking private aviation and must be highly resilient and feel comfortable with constant change. The ideal candidate must also have impeccable communication skills and exceptional administrative ability andattention to detail attention to detail with a strong customer service focus.Role Responsibilities Ensure a high service level is received by Chief of Staff, and the CEO Develop strong relationship with Chief of Staff and CEO to understand individual needs Arrange complex travel requirements, including flights, car transfers and hotel accommodation Liaise with private jet companies, charter companies, hotels and handle all reservations Liaise with Chauffeur companies to arrange ground transportation Support setting up rooms for conferences, events, workshops and meetings Ensure travel expenditure is minimised by sourcing the lowest suitable fares and rates Foster and maintain good relationships with all travel suppliers Book travel in adherence to the Travel & Expenses Policy including raising Purchase Orders Ensure that deposit and balance payments are paid to tour/travel operators within agreed timescales where applicable and in accordance with their terms and conditions Provide general administrative and ad hoc clerical duties Analyse company spend each month for all bookings made to look for cost saving opportunities and to ensure policy is being followed Assist with the application process for business travel visas Organise and assist with event transportations and catering requirements Working alongside travel management companies to arrange new travel bookings, amendments and cancellationsRole Requirements Previous experience in booking private aviation is imperative Previous experience in Business Travel or a similar Travel Coordinator role essential Ability to work fast under pressure and to tight deadlines Must be able to work both on own initiative and as part of a team Exceptional attention to detail Strong organisation and multi-tasking skills essential Excellent customer service/people skills Excellent verbal & written communication skills Excellent IT skills to include Outlook, MS Word, Excel and PowerPoint
