Job Description

Role: Head of FinanceLocation: SW London - Hybrid (3 days in office)Permanent - full time or 4 daysSalary: £65,000 - £85,000Ref: VisionFR 2976VisionFR is working with our Client, an Independent Creative agency, to find a qualified (or QBE) Head of Finance for their 20 person, full service Creative agency in South West London. The Head of finance will complete the monthly Management and Financial reporting routines. They will liaise and work closely with the Senior Management Team to ensure that budget variances are controlled, and the relevant financial informationis communicated to the Managing Director. You will business partner with the Founder/ MD and forge a trusting and meaningful business relationship with them to support them with strategic and commercial decision making. You will help improve the processesand systems and oversee the agency use of paprika. The idea is to have this role grow into the Finance director.Key responsibilities of the Head of FinanceManagement Accounts

  • Prepare management accounts with KPI and variance analysis
  • Report monthly reports at management meetings
  • Take overall responsibility of the company’s accounting function in Paprika - project accounting and WIP, debtors and creditors functions, balance sheet reconciliations, payroll processing on Sage 50 payroll), bank reconciliations
Project Accounting
  • Work closely with the MD and Client Services Team including weekly time reports and analysis, WIP both time and third-party costs, invoicing schedules, budget / estimate assistance and checking, profitability reports and staff KPIs
Sales Invoicing
  • Ensure that all invoices are prepared in good time for the month end Working capital/Cashflow.
Daily/weekly bank reconciliations
  • Preparation of weekly cashflow forecasts,
Budgeting and Business Planning
  • Assist managing director with the budgeting and monthly rolling forecast process.
  • Prepare the final budgets for submission.
Taxation
  • Prepare quarterly VAT returns.
  • Answer corporation tax queries
Payroll
  • Liaise with HR Manager regarding changes to salaries, new starters, leavers etc.
  • Ensure that all information is correct and is sent in time for processing on Sage 50 payroll.
  • Prepare the necessary information for the payroll so that all year end returns (P11d and P35) can be prepared in good time.
  • Ensure the payroll journals are posted accurately.
Management Accounting System
  • Ensure all systems within the company are working efficiently and effectively.
  • Develop systems further to ensure that the company can respond to the demands of clients and maintain the levels of profitability
People Management
  • Offer training and support companywide on Paprika, Commerciality and cost control etc.
  • Closely manage, mentor, and train the current Finance Manager/ Senior Finance Assistant
  • Mentor and develop other team members.
  • Prepare information at the request of the Managing Director for the monthly management meetings and Board Meetings
Other duties
  • Manage the company insurances.
  • Manage the company external IT contractor
  • Ad hoc support re operations of the business as needed
  • Take on responsibility for liaising with Landlord and Council as necessary for the building
  • Work closely with HR manager/Office Manager to assist with compliance to legal framework around employees, benefits and KPI/Bonus scheme creation and monitoring
As the Head of finance you will have the following skills/experience:
  • ACA/ACCA/CIMA or CPA qualified (consideration will be given to QBE)
  • Paprika a big advantage
  • Advanced excel
  • Excellent communication/interpersonal and relationship building with all parties
  • Organisational skills
