Job Description

RELOcruitment are working alongside one of the stalwarts of high-end Removals and Storage within the London marketplace.They have an immediate opening for a Feet Manager to join their busy Private Client Services Team.You will be reporting directly to the Operations Manager to help contribute to the achievement of the company’s business plan objectives and the efficiency, effectiveness, and growth of the organisation by acting as the main point of contact for all fleetrelated issues.An International Operators license and experience in managing fleets, including forklifts, is essential.Main Responsibilities:

  • Working closely with the Operations Manager to develop strategies for improved cost efficiency.
  • Ensuring that the Companys fleet of vehicles is operating in accordance with legislation and regulations.
  • Assisting with the drafting and implementation of effective policies and procedures regarding fleet operations.
  • Managing strict vehicle maintenance and servicing schedules to minimise downtime.
  • Maintaining accurate and detailed records of vehicle inspections and services.
  • Monitoring fleet cost and ensuring they remain within budget.
  • Manage, audit and review fleet compliance systems to ensure they are effective and adhered to.
  • Ensure that the Company complies with all relevant Operations/Fleet Management legislation (transport, health and safety, employment and any other applicable).
  • Keep up to date with and communicate relevant changes in standards and legislation.
  • Ensure compliance with all statutory regulations; particularly those relating to transport Tachograph and Vehicle servicing, and Health & Safety.
  • You will work with the wider Operations team to assist with resolving issues that may arise and ensuring that efficient communication is maintained with internal and external stakeholders on operational matters.
  • You should maintain a flexible approach and be willing to assist with cover for other departmental roles and responsibilities during periods of holiday/absence. You will be given training to develop your understanding of the PCS Operations diary and willassist with the management of road crew as required.
Vehicle Maintenance:
  • Ensure an efficient system exists for the regular maintenance of vehicles and equipment, making sure service and repair records are kept as per legal requirements.
  • Service planning of PCS core fleet: monitoring and adhering to all vehicle and trailer services and MOTs, legal compliances and VOSA/LOLER standards. Ensuring all activities are completed as per timetable and paperwork uploaded to the system for transparencyand audit.
  • Work with the Operations and Warehouse Managers ensuring vehicles are available for scheduled maintenance & MOT/LOLER, with an appropriate replacement where necessary.
  • Liaise with service providers to ensure repair and maintenance programme is completed with minimal disruption to unit, trailer, and FLT availability.
  • FLTs - monitor, maintain and record STE/LOLER and periodic servicing records Monitor, maintain and record daily defects to ensure procedure is completed with traceability. Ensuring all defects are signed off as completed and vehicles are fit for the roadbefore leaving site.
  • Ensure a weekly physical inspection of vehicles is undertaken and recorded to maintain condition of vehicles.
  • Undertake periodic spot checks of vehicles to ensure drivers are accurately recording defects, identifying any damages or cleanliness issues.
  • Ensure Operators Licence Compliance including OCRS (Operator Compliance Risk Score) Reporting. Understanding all aspects of vehicle maintenance, contract, and non-­ contract costs.
Fleet Operation:
  • Establish and maintain KPls for fleet operations including (but not limited to) miles per gallon, vehicle usage, fleet replacement capex requirements.
  • Maintaining accurate vehicle records, ensuring all the correct paperwork is in the physical vehicle files for EU travel & uploaded to internal system files for audit Monitor, maintain & update UK fleet lists for auto charging (CCU Dart Charge) Record &distribute toll boxes/fuel cards query/stop/cancel/reorder where necessary Record, manage and report details of all vehicle accidents to Risk Manager for insurance purposes.
Drivers:
  • Maintain driver hour records and tachographs, including uploading vehicles and drivers within the prescribed time limits, ensuring manual entry errors are corrected, and all unaccounted distance is fully reconciled with accurate information. Ensuring legalcompliance, compiling, and sending to TMS for analysis. Taking a proactive approach to infringement reporting and rectification.
  • Reviewing, maintaining, and updating driver training records. Working with the Operations Manager and Learning & Development team to ensure all drivers are available and attend training as required.
  • Make sure driver CPC training is maintained and legally compliant and carry out CPC card checks at appropriate intervals.
  • Resolving driver issues in real-time
  • Completing thorough driver debriefs and refer poor performing drivers to the Operations Manager.
Other duties or ad hoc projects may include:
  • The compilation of fuel price comparisons.
  • Service provider comparisons.
  • Negotiation of supplier rates.
  • Sourcing of new vehicles and the arrangement for the sale or disposal of old Company fleet.
Knowledge, Skills, and Experience:
  • CPC Qualification (essential).
  • Good knowledge of road transport law and legislation required.
  • Full working knowledge of driver hours and working times.
  • Excellent communication skills, spoken and written.
  • Proven ability to work collaboratively and effectively as part of a team.
  • Excellent attention to detail.
  • Proven ability to prioritise workloads and meet tight deadlines.
  • Proven ability to work on own initiative.
  • Strong PC Literacy including MS Office.
