A leading agency design agency, based in London are looking for an Executive Assistant who will be involved in the day to day running of the agency. It is both a support and client facing role, giving you full exposure to the creative industry and allowing you to gain a full understanding of the commercial running and design thinking.Key ResponsibilitiesAs the Executive Assistant to the Executive Team you will be responsible for their full administrative support and contribute to the efficiency of the business. The main responsibilities for this role are:• Dealing with incoming correspondence from both senior internal and external stakeholders/clients.• Work closely with the Executive Team to understand business priorities and studio challenges, ensuring they are kept up to date on progress.• Screening telephone calls, enquiries, requests, and handling them when appropriate.• Setting up and organising meetings (often with the client Project Managers), setting up conference/VC meetings and ensuring the appropriate Executive is well-prepared at all times.• Arranging, booking and preparing complex travel itineraries for the Executive Team (and team members) and on occasion, researching Executive Team personal trips).• Managing the coordination, agenda’s, actions for regular management meetings and monthly executive meetings.• Maintaining a good relationship with international offices, keeping the executive team abreast of any issues and queries.• Managing and submitting timesheets and expenses in a timely manner. Overseeing a limited amount of personal work where it may affect the working day.• Working closely with the senior stakeholders to ensure communication flow is consistent and expedient.Skills, Knowledge & Experience
