Job Description

SUMMARYA leading marketing service provider are seeking a highly-experienced Executive Assistant on a Fixed Term Contract to support senior level executives. The candidate will be able to actively and strategically understand the governance and business structureand provide strategic calendar management support. Along with performing administrative duties such as, but not limited to, scheduling internal and external meetings. The candidate will also assist with booking travel, preparing & submitting expense reportsvia Concur and reserving conference rooms. Light personal work such as ordering food/gifts or coordinating personal appointments may be required. The Executive Assistant would also help with the occasional setup of breakfast and lunch meetings. He or she willbe working in the Corporate Services team assisting with other projects as needed and it is essential that this person be a team player who works well with others.KEY RESPONSIBILITIES of the Executive Assistant

  • Actively and strategically understanding the governance and business structure, providing strategic calendar management support
  • Supporting with events, when necessary
  • Assisting with the logistical side of expansion of International business when necessary, e.g. researching and sourcing new office space
  • Schedule internal and external meetings, prepare agendas, reserve conference rooms, perform research and take minutes/action points
  • Assist with task ownership - prioritise, communicate and action
  • Attend key internal meetings, take minutes, distribute action points and follow-up actions
  • Book travel, prepare & submit expense reports via Concur
  • Solve simple IT problems and contact the IT department when necessary
  • Maintain a strong working relationship with other relevant departments, including IT, Sales and PR
  • Liaise with other staff members on behalf of executives
  • Light personal work such as ordering food/gifts or coordinating personal appointments may be required
  • Help with the occasional setup of breakfast and lunch meetings

QUALIFICATION REQUIREMENTS
  • Strong MS Office knowledge, particularly MS Word, Outlook, Excel and PowerPoint
  • Zoom video conferencing
  • Three or more years of executive assistant experience
  • Bachelors Degree preferred
