Job Description

Executive AssistantLocation: LondonLength: 10mRate: £160 - £172.32 per day (Inside IR35)Hours: 9am-6pmREF no: 105971This client is a top 5 tech giant with a global retail operation, video streaming platform, and has a big imprint in web services. This is a hybrid role, so you will split your time between home office and the clients offices in central London. On-siteyou will be able to access their amazing facilities and quirky working spaces.Responsibilities include:

  • Providing seamless administrative support to the Director of Public Policy, UK and Turkey and the Director of Digital Policy, UK
  • Managing complex calendaring and scheduling, requiring internal and external coordination, and including international and domestic travel arrangements
  • *Manage internal and external high-level meetings
  • *Handle and safeguard confidential and sensitive data
  • *Managing large event logistics, Offsites, catering, accommodations, and materials (e.g., business writing courses)
  • *Management of team space, including moves and reconfiguration
  • *Driving team activities (e.g., team meeting agendas, team-building events, launch events and recognition posters)
  • *In-office support for key meetings, events
  • Coordinating constructively with business, public policy leadership, and external parties in the planning of internal and external meetings and events
  • Tracking and driving key deliverables and to completion
  • Collation and editing of UK written materials to facilitate professional and timely engagement with internal and external stakeholders
  • Managing budget, contracts, and expense processing
  • Partnering collaboratively with fellow executive assistants, locally and globally
Basic qualifications
  • Minimum of 5 years’ experience providing senior-level Executive support
  • Strong written and spoken English (working language)
Preferred qualifications
  • Expert-level proficiency with Microsoft Office, Outlook, Word, Excel, PowerPoint, SharePoint
  • EU languages
  • Strong business acumen, with the ability to identify gaps and implement improvements
  • Event planning experience
  • Grace under pressure, and the ability to switch gears at a moment’s notice
  • Experience of working within an UK and/or international matrixed organization
  • Experience of working with government and/or policy stakeholders
  • Experience of working across countries and time zones within a global organization
  • High level of integrity and discretion in handling confidential information and dealing with professionals inside and outside the company, our client is an equal opportunities employer.
