Job Description

EXECUTIVE ASSISTANT SUPPORTING TWO FOUNDERS - CHELSEA GKR International has been exclusively retained to lead the search for a detail-driven and highly organised Executive Assistant (EA) for a prestigious property buying advisory in Chelsea. Our client is a highly respected property buying advisor who has an incredible reputation and track record acquiring and advising HNWI private clients and their advisors, with some of the most exquisite private homes Central London has to offer. You will provide Executive Assistant support to both Founders of the business who are widely respected and experts in their field whilst also providing ad hoc administrative support to the wider team. Salary: Dependent on experience ranging from £35,000 - £40,000 (may be negotiable).Contract: Full-time | PermanentWorking Hours: Mon - Fri, 9 am - 6 pmLocation: Chelsea, London. Please note this role is based in the office 5 days a weekKey Responsibilities (not limited to):EA support to Founders:* Managing both diaries carefully, ensuring sufficient buffer time between appointments to minimise any conflicts. * Coordinate and manage schedules, including meetings, and travel arrangements.* Staying one step ahead of important tasks and deadlines. * Anticipate needs and proactively address them to ensure efficient workflow.* Drafting and editing documents, emails, and other communications on behalf of the Founders.* Acting as the first point of contact for the office and Founders.* Responding to emails, and phone calls and liaising with clients both over the phone and in person.* Scheduling meetings, preparing agendas for meetings, and ensuring meeting rooms are always stocked. * Sourcing and selecting thoughtful gifts for special occasions, clients, and key stakeholders.* Occasionally organize and help plan personal events.* Supporting with paying personal and company bills.* Liaising with supplier/third-party companies.* Research venues and stay informed about cultural and industry-related events for the business and relevant to the Founders interests.Administrative duties:* Daily administrative support.* Meeting and greeting guests.* Processing expenses and invoices.* Providing refreshments for guests on arrival.* Overseeing the day-to-day operations of the office in Chelsea, ensuring the office space is kept clean, tidy, and presentable.* Liaising with the IT support team and property maintenance regularly to ensure the office runs smoothly. * Maintaining office supplies and equipment.* Maintaining company records and online filing system. Ideal skills & attributes: * 3 years experience working in a similar PA/EA role, preferably within luxury, e-commerce, or high-end residential real estate.* Familiar with the luxury industry. * Educated to degree level. * Exemplary English language and communication skills both written and verbal. * Approachable, positive, and engaging personality. * Impeccable professional appearance and demeanor.* Exceptional organisational and multi-tasking abilities. * A confident and personable nature is essential.* Proficient in Microsoft Office suite - including advanced Excel and PowerPoint skills. * Tech Savvy and comfortable with CRM systems. * Flexible, helpful, and naturally hospitable.* Takes pride in doing a good job.
